Role overview
This contract opportunity is for an Administrative Assistant II supporting a client in the financial services sector. The organization has a broad North American presence and operates across institutional and corporate banking, wealth management, private client services, commercial banking, treasury, and retail banking.
Assignment details
The engagement runs for 12 months and is based in Whitby, Ontario, Canada. The position is onsite, with working hours from Monday to Friday, 9:00 AM to 5:00 PM. The pay rate is $23.30 per hour.
Key duties
The role involves delivering dependable administrative assistance while maintaining a polished, service-oriented approach in every interaction. You will handle multiple priorities at once, keep work moving to deadlines, and prepare accurate support materials such as reports, presentations, invoices, correspondence, tables, charts, and files.
Day-to-day work includes organizing meetings and related logistics, such as room booking, pre-distribution of materials, equipment setup, and refreshments. You will also manage incoming requests and inquiries, respond independently when possible, or direct them to the right person or team.
Additional responsibilities include collecting and tracking data, researching information, sorting and distributing mail, reconciling and processing expense reports, managing calendars, maintaining files, and completing other administrative tasks as needed. The role also requires careful handling of confidential information, sound judgment in escalating issues, and flexibility when priorities shift.
You are expected to use office software and tools efficiently, communicate clearly in writing and verbally, and look for opportunities to improve how your work is done. Initiative in investigating issues and resolving assigned tasks is also important.
Experience and qualification expectations
A degree or diploma is required. The client is looking for someone with 2 to 4 years of administrative experience, along with customer service experience. Strong organization, attention to detail, adaptability, and the ability to manage sensitive information are essential.
