Role Overview

trubel&co is hiring a Manager of HR, Finance, and Operations to act as the organization’s internal lead across these functions. This is a high-trust, high-responsibility position that spans everything from processing payroll every two weeks to coordinating hiring across several interview rounds and keeping compliance and financial reporting well organized.

The position is highly strategic but also very execution-focused. You will work directly with the Executive Director and help hold the operational structure of the organization together. Finance & Accounting

  • Act as the main point of contact for the external accounting partner, Jitasa, including monthly close coordination, reimbursement reconciliation, and financial reporting.
  • Process payroll every two weeks in Gusto, including employee-type payroll allocations and benefits deductions, while also handling reimbursement records, expense reports, and virtual credits through Bill.com.
  • Oversee required state and federal compliance work such as support for 990 preparation, quarterly tax filings across multiple states, W-2 and 1099 processing, and insurance administration for policies like General Liability, D&O, E&O, and Workers’ Compensation.
  • Track accounts receivable aging, follow up on unpaid invoices, and coordinate payment timing with the Growth + Partnerships and Programs teams for workshops and grants.
  • Keep an eye on the organization’s financial condition and escalate any concerns to the Executive Director and the Board Finance Committee.

Human Resources

  • Own the full hiring and employee lifecycle, including job postings, application handling, interview scheduling, informational conversations, offer letters, onboarding through Gusto, and offboarding for all roles.
  • Administer employee benefits such as ICHRA/health, dental, vision, FSA, and HSA, along with related enrollment, reimbursement, and communication tasks.
  • Keep the Employee Handbook, Contractor Manual, and related policies current.
  • Maintain employee and contractor records and manage access to organizational systems, including identifying unused licenses, removing departing users, and finding opportunities to reduce costs.
  • Support the Executive Director with job structure and compensation work by researching role definitions, level setting, and defensible pay frameworks aligned with local and national standards.

Operations & Systems

  • Improve and maintain operating procedures and internal documentation, including the ops knowledge base, contracts, and board materials.
  • Administer the organization’s core tools such as Google Workspace, Airtable, Notion, Slack, Bill.com, Gusto, and Zoom, while also reviewing subscription costs and recommending consolidation where useful.
  • Manage vendor relationships and agreements, collect W-9s, process invoices, and keep vendor records organized.
  • Coordinate state registrations and help maintain compliance in every state where trubel&co operates.

Strategic Partnership

  • Serve as a trusted advisor to the Executive Director on organizational health, HR direction, operational improvements, capacity planning, and risk.
  • Lead quarterly OKR rollout, communication, and review in collaboration with the Executive Director.
  • Act as the board governance liaison by supporting board onboarding, legal compliance, and document management.

Requirements

  • At least 4 years of experience across operations, finance, HR, or a mix of these areas, ideally within a small nonprofit, startup, or similar setting.
