Role Overview
Blue Hat HR Services is looking for a Human Resources Administrator to join an onsite team in Al Khobar, Eastern, Saudi Arabia. The role focuses on recruitment coordination, HR reporting, visa administration, and mobilization support for a US-based client operating in the Construction and Oil & Gas sectors. This opportunity is open to nationals only.
The position is suited to someone who is highly organized, comfortable working with data and trackers, and confident communicating in English across a range of stakeholders.
Key Responsibilities
Recruitment coordination
- Maintain candidate databases, hiring trackers, and recruitment status reports.
- Arrange interviews and keep communication flowing between candidates and hiring managers.
- Monitor the progress of each vacancy and ensure candidate records stay complete and accurate.
- Prepare interview schedules, candidate summaries, and recruitment-related documents.
- Follow up on interview outcomes, approvals, and hiring decisions.
Reporting and data analysis
- Produce weekly and monthly HR, recruitment, and mobilization reports.
- Build workforce summaries, recruitment dashboards, and management reports.
- Review workforce and recruitment data to spot patterns and share useful insights.
- Keep live trackers updated for open roles, candidates under process, mobilized staff, visa status, and workforce availability.
- Maintain data quality, consistency, and audit-ready records across all HR files.
- Update spreadsheets, dashboards, and reports using Microsoft Excel and related tools.
Visa and mobilization administration
- Manage visa and mobilization trackers with current and accurate information.
- Coordinate the preparation and processing of visa documents.
- Track visa approvals, renewals, and deployment-related requirements.
- Support employee onboarding and mobilization arrangements.
- Monitor employee readiness for deployment and project assignment.
- Work with Government Relations, Operations, and Project teams to support timely workforce movement.
Administrative support
- Maintain employee files, HR records, and document control systems.
- Draft employment-related paperwork and general administrative correspondence.
- Ensure recruitment and mobilization records are properly filed and archived.
- Assist with process improvements and day-to-day HR administration.
- Coordinate with internal teams to complete HR tasks on time.
Stakeholder coordination
- Communicate professionally with candidates, employees, managers, and external service providers.
- Actively follow up on approvals, documents, and pending recruitment actions.
- Escalate delays and administrative concerns when needed.
- Support cross-functional teams with workforce planning and reporting needs.
Education and Experience
A bachelor’s degree in Human Resources, Business Administration, Information Technology, Management, or a related discipline is required. The ideal candidate will have 2 to 5 years of experience in HR administration, recruitment coordination, HR operations, workforce administration, data analysis, or similar administrative work.
Hands-on experience handling reports, trackers, databases, and workforce information is essential. Prior exposure to recruitment and mobilization processes is preferred. Experience in construction, engineering, manufacturing, oil & gas, or other project-based environments will be considered an advantage.
