Role Overview
As the Office Administrator for Convergint Singapore, you will be central to keeping office activities running smoothly while also offering direct support to senior leaders. The role combines executive assistance, office coordination, and general administrative work, with an emphasis on efficiency, initiative, and professionalism.
Main Responsibilities
- Deliver administrative assistance to senior executives, including calendar coordination, travel planning, and expense processing.
- Serve as a communication bridge between executives and internal or external stakeholders to support efficient coordination.
- Draft, arrange, and polish documents, presentations, and reports for meetings, maintaining accuracy and a professional standard.
- Take initiative to identify executive priorities in advance and help improve productivity and time use.
- Handle confidential and sensitive material with a high level of discretion and professionalism.
- Manage the day-to-day running of the office, including supplies, upkeep, and vendor interactions.
- Coordinate workplace logistics such as space planning and event support to keep operations organized.
- Oversee commercial insurance matters, contract administration, and office renovation-related coordination.
- Maintain office procedures and guidelines to align with company requirements.
- Manage incoming and outgoing correspondence, including sorting, prioritizing, and redirecting communication where needed.
- Assist with HR-related support such as onboarding and offboarding, event planning, meeting coordination, research, and other general administrative duties.
Requirements
- A diploma or bachelor’s degree in business administration, office management, or a related discipline is preferred.
- At least 2 years of experience in an administrative assistant, executive assistant, or comparable position.
- Strong working knowledge of Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook, along with other productivity applications.
- Excellent organizing and scheduling abilities, with the capacity to manage priorities and meet deadlines.
- Strong written and verbal communication skills, plus the interpersonal confidence to work with people at different levels.
- High standards of confidentiality and discretion when working with private information.
- A proactive, practical, and solution-oriented mindset.
- Comfort working in a fast-moving and changing environment.
