Overview
Community Health Center of Snohomish County is hiring a Purchasing Specialist to support procurement operations at its Lynnwood location. The role offers a strong benefits package, including medical, dental, and vision coverage, paid time off, retirement support, leave benefits, and disability and life insurance. Employees who demonstrate proficiency in a second language receive an additional $0.75 per hour.
Schedule
This is a 32-hour-per-week position with a fixed Monday through Thursday schedule from 8:00 a.m. to 4:30 p.m., giving the role a regular Friday off.
Role Summary
The Purchasing Specialist handles a range of purchasing and procurement responsibilities. This person will create and monitor purchase orders throughout the procurement process, support staff with requisition processing, train new system users, and answer questions related to item details, pricing, and order progress.
Primary Duties
- Buy supplies, equipment, services, and other business essentials needed for day-to-day operations.
- Help staff complete purchase requisitions and respond to questions about products, pricing, and availability.
- Train CHC employees on the automated requisitioning platform.
- Check requisitions for correct item numbers, general ledger codes, pricing, and PAR levels.
- Research pricing and product details for non-standard requests.
- Prepare purchase orders from approved requisitions and send them to vendors.
- Arrange vendor drop shipments to site locations when needed.
- Handle product returns and monitor credit receipt status.
- Track open orders, follow up on overdue or backordered items, and keep staff informed of delays.
- Maintain current vendor assignments, product data, and pricing for quick and accurate reference.
- Create quarterly reports for PAR level audits.
- Submit service requests for routine maintenance and support of clinical and office equipment.
- Work with Accounting, vendors, and internal teams to resolve mismatches among purchase orders, receipts, and invoices.
- Carry out inventory counts at medical and dental clinics on a recurring schedule as required by accounting standards and/or regulatory rules.
- Track, scan, and distribute safety data sheets for chemicals.
- Set up new vendors in the electronic purchasing and accounting system.
- Maintain attendance standards to support daily operations and continuity of patient care.
Skills and Abilities
Success in this role depends on strong written and verbal English communication, the ability to work independently, solid presentation skills, and a collaborative approach. The position also requires effective organization, prioritization, multitasking, initiative, productivity, and creative problem-solving in a fast-moving environment. Microsoft Office proficiency is preferred.
Education
A high school diploma or equivalent is required.
Experience
At least 2 years of purchasing experience is required, along with proficiency in purchasing software. Experience with materials management or inventory systems, healthcare or related settings, and Sage Intacct is preferred.
Certification
A Certified Materials & Resource Professional (CMRP) credential, or an equivalent certification in supply chain management, materials management, procurement, or logistics from a recognized professional association, is preferred.
