About the Role
The Administrative Assistant plays an important role in keeping everyday business activities organized and efficient. This position supports office coordination, communication, scheduling, documentation, and general operational tasks.
Responsibilities
- Keep the office running smoothly by handling daily administrative tasks, managing supplies, arranging maintenance, and assisting with facility-related needs.
- Organize calendars, schedule meetings and appointments, coordinate travel, and prepare materials needed for discussions and events.
- Write, review, and route internal messages, emails, and memos to the right people.
- Create reports, maintain both digital and paper filing systems, and make sure records are accurate and up to date.
- Enter data, maintain databases, track key information, and prepare regular reports.
- Welcome visitors, answer incoming calls, and deliver professional front-desk support.
- Support expense tracking, vendor coordination, and purchase order-related tasks.
- Provide administrative help to managers, departments, and project teams whenever needed.
Qualifications
- A high school diploma is required; a post-secondary certificate or diploma in administration is an asset.
- Good working knowledge of MS Office, including Word, Excel, Outlook, and PowerPoint, along with familiarity using office equipment and digital workplace tools.
- Strong written and spoken communication skills.
- Ability to juggle multiple priorities, stay organized, and manage time well.
- Careful attention to detail, especially when handling documents and data.
- A professional approach with sound judgment, dependability, and a customer-focused attitude.
Experience Requirements
- Between 4 and 7 years of experience in administrative support, executive assistance, project coordination, or operational roles.
- A substantial part of that experience should come from a mid-sized company with about 100 to 300 employees.
- Proven success working in fast-moving, growth-oriented environments such as SaaS, technology, healthcare, or professional services is preferred.
Preferred Education
- A bachelor’s degree in Business, Management, Project Management, or a related area is required.
- An MBA or other master’s degree in business is strongly preferred.
Compensation and Benefits
This is an onsite role based in Mississauga, with a five-day in-office schedule.
The annual salary range is CAD 50,000 to CAD 60,000.
After 6 months, employees may be eligible for the company stock option plan.
