Role Overview
This opportunity is with a major infrastructure programme in Abu Dhabi, supporting the delivery of a next-generation digital infrastructure development. The work involves close coordination across design, project, and commercial teams in a highly governed, mission-critical environment. The role sits within a team focused on delivering resilient infrastructure using established programme and project management practices.
Core Duties
- Handle document administration and information control by organising, numbering, filing, sorting, and retrieving both digital and hard-copy records from project teams, consultants, and subcontractors.
- Make sure all information is handled according to company procedures and the rules of the document management system being used.
- Support the setup and onboarding of internal staff and external project participants on the project system.
- Check newly uploaded documents to confirm they meet quality and procedural standards before circulation.
- Create, maintain, and revise distribution lists so documents reach the right people and organisations.
- Keep the project work package matrix updated and route documents to the appropriate work packages.
- Prepare in-app reports for the project team whenever required.
- Manage user access rights and permissions within the project system.
- Ensure key workflows, including the RFI process, are carried out in line with project procedures.
- Work in a coordinated way to support the transition toward net zero carbon, including identifying and managing carbon impacts and reduction opportunities during delivery.
Required Background
- A university degree is required.
- Strong hands-on experience with electronic document management systems such as Aconex, SharePoint, and the MS Office suite.
- Excellent communication, organisation, and time-management abilities, with a high level of accuracy in document control work.
- Good understanding of project workflows, document handling practices, and current industry standards.
- Prior work experience in the United Arab Emirates is mandatory for client approval.
