Role overview
The Event Coordinator, Education Programs helps plan, organize, and deliver ACCC’s educational events and programming, including conferences, webinars, meetings, and related initiatives. This position blends project coordination, logistical support, and cross-team collaboration to help create smooth and high-quality learning experiences for oncology healthcare professionals and other interdisciplinary audiences.
Working with internal departments, faculty, vendors, venues, and outside partners, the coordinator keeps timelines moving, supports registration and speaker workflows, and manages day-to-day event operations. The role is well suited to someone who is highly organized, comfortable juggling several priorities, and effective in a mission-driven healthcare association setting.
Position details
This is a full-time exempt remote role reporting to the Director, Events. The position is based in the United States and requires approximately 10% to 30% travel for national conferences and site visits. Occasional evening and weekend availability is needed during event production periods.
What you will do
You will support the planning and execution of in-person and virtual educational events, helping ensure they stay on schedule, on budget, and aligned with organizational goals. Responsibilities include managing logistics, vendor coordination, registration tasks, faculty communications, on-site support, reporting, and post-event follow-up.
Compensation
The salary band for this position is $52,000 to $78,000 per year. Final offers may vary depending on experience, skills, and overall fit for the role.

Responsibilities
- Help plan and coordinate national, regional, and specialty educational events, including conferences, summits, meetings, and leadership programs.
- Build and maintain project timelines, task lists, and trackers to keep deliverables on schedule.
- Handle venue logistics such as room layouts, audiovisual arrangements, catering, and signage.
- Assist with venue research and participate in site visits when needed.
- Manage event registration tools, attendee records, and reporting outputs.
- Prepare event assets such as agendas, badges, signage, and onsite materials in coordination with internal teams.
- Communicate with faculty about deadlines, materials, and deliverables.
- Review presentation files and monitor timely submission of speaker materials.
- Support travel arrangements and reimbursement paperwork for speakers when required.
- Create speaker briefings and onsite support documents.
- Travel to events and provide execution support at the venue.
- Oversee registration desk activity and respond to attendee questions.
- Work with vendors and venue staff to resolve operational issues in real time.
- Help sessions run smoothly and keep the program on schedule.
- Support teardown activities and post-event reconciliation.
- Coordinate with Communications to ensure accurate event details appear in promotional materials and web pages.
- Share logistics updates with internal stakeholders and keep teams informed.
- Work with Corporate Development on sponsor commitments and onsite needs.
- Partner with Membership and Education teams on attendee engagement efforts.
- Track event budgets and supporting expense records.
- Process invoices and maintain vendor payment documentation.
- Keep digital event files and records organized.
- Assist with post-event reconciliation and reporting.
- Compile attendee feedback and help prepare summary reports.
- Monitor registration patterns and attendance statistics.
- Support improvements based on post-event evaluation findings.
- May guide temporary staff, volunteers, or onsite contractors during event delivery, though the role has no direct people-management responsibility.
Requirements
- Bachelor’s degree is required.
- Three to five years of event coordination experience is preferred, ideally in a healthcare association, medical society, nonprofit, or similar environment.
- Prior support for national conferences or sponsor-backed meetings is preferred.
- CMP certification, or active progress toward CMP, is considered an advantage.
- Strong project coordination, organization, and follow-through skills are needed.
- Ability to manage several timelines and priorities at once is essential.
- Clear written and verbal communication skills are required.
- Comfort working across multiple internal teams and external stakeholders is important.
- Professional interaction style with faculty, sponsors, and healthcare professionals is expected.
- Ability to anticipate issues and respond quickly in a fast-moving environment is necessary.
- Strong time management and prioritization abilities are required.
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook is expected.
- Experience with registration platforms and project management tools is preferred.
- Ability to learn internal content and event systems is needed.
- Remote work requires sustained computer use and virtual collaboration.
- Travel of approximately 10% to 30% is required depending on the event calendar.
