Role Overview
We are looking for an office administration professional to support daily operations at a Singapore River, Central Singapore location. The role combines administrative coordination, vendor and customer support, finance follow-up, and general office assistance in a scientific/technical business environment.
Administrative Support
- Keep office workflows running smoothly by handling scheduling, correspondence, and document management.
- Track inventory, purchase orders, and supplier agreements with accuracy.
- Draft management reports, presentation materials, and meeting notes.
Customer and Vendor Coordination
- Respond to customer enquiries, prepare quotations, and manage order processing for scientific instruments and consumables.
- Work with suppliers, logistics partners, and service vendors to support timely delivery and installation.
- Assist sales and technical colleagues with coordinating product demos and client appointments.
Finance and Compliance
- Support invoicing activities, payment follow-up, and expense reporting.
- Help maintain adherence to company procedures, industry expectations, and regulatory documentation requirements, including import/export paperwork for scientific equipment.
Office and Team Support
- Manage office supplies, basic equipment upkeep, and facility-related coordination.
- Arrange travel, training calendars, and internal staff events.
- Provide support to HR tasks such as onboarding, attendance monitoring, and employee engagement activities.
Requirements
- A diploma or degree in Business Administration or a closely related discipline.
- Previous experience in office administration, ideally within a scientific or technical setting.
- Strong organisation, prioritisation, and multitasking abilities with a careful eye for detail.
- Comfortable using MS Office and CRM or ERP software.
- Clear written and verbal communication skills for working with clients, suppliers, and internal stakeholders.
- A flexible approach and the ability to contribute across operational and technical support tasks.
