Role Summary
The Paralegal will support the Legal Department in areas such as licensing, corporate governance, contracts, and day-to-day legal operations. This includes handling records, monitoring filings, coordinating legal matters, and helping the team stay organized and on schedule.
Key Responsibilities
- Oversee business licenses, permits, and regulatory submissions across multiple jurisdictions, including registrations, renewals, applications, inspections, reporting, and compliance deadlines.
- Work with regulators, municipalities, external consultants, and internal stakeholders to address compliance issues and complete required actions on time.
- Keep a central system for tracking permitting activity, databases, and related records.
- Maintain corporate files, minute books, governance materials, organizational documents, and related records.
- Prepare and submit annual reports, entity registrations, foreign qualifications, and other mandatory state filings in multiple jurisdictions.
- Draft resolutions and assist with board and shareholder documentation.
- Support legal operations by tracking matters, managing the compliance calendar, and processing invoices.
- Act as a point of contact between the Legal Department and business teams for contract review, execution, document requests, and follow-up on open matters.
- Administer the contracts database by monitoring status, approvals, amendments, renewals, notice periods, and key expiration dates.
- Organize and maintain files for properties, leases, agreements, and transactions, ensuring documents are current, accessible, and version-controlled.
- Assist with transaction due diligence by helping manage data rooms, reviewing documents, and preparing deal materials for attorney review.
- Perform legal research and prepare summaries, correspondence, and reports.
- Look for ways to improve legal processes, workflows, and recordkeeping systems.
- Take on additional duties and special projects as needed.
Requirements
- A bachelor's degree or paralegal certificate is required.
- At least 3 years of experience in an in-house legal team or law firm environment is required.
- Background in corporate governance, contract administration, and transactional support is expected.
- Experience collaborating with outside counsel, regulators, and cross-functional business partners is needed.
- Comfort using Microsoft Office, Adobe Acrobat, and contract/document management systems is required.
- Strong analytical ability and organization are essential, along with the capacity to juggle several priorities in a fast-moving setting.
- Excellent written and verbal communication skills are necessary, along with a cooperative, service-focused approach.
- Professional judgment, discretion, and close attention to detail are important.
Work Environment
This is a full-time position based in Lawrence, MA, primarily onsite with some flexibility for limited remote work. The role is based in a professional corporate office environment within a legal department.
- Schedule is Monday through Friday, 40 hours per week.
- The position is mainly sedentary and involves extended sitting and computer use.
- Frequent hand and finger use is needed for typing, data entry, and document handling.
- Strong visual focus is required to read contracts, regulatory filings, and fine print regularly.
- Occasional standing, walking, and movement around the office may be required.
- Regular interaction with internal teams, outside counsel, and regulatory agencies is part of the role.
- Clear verbal and written communication is necessary.
- There may be occasional lifting or moving of items up to 15 pounds.
Compensation
The salary for this role is estimated at $80,000 to $105,000 per year, depending on relevant experience, knowledge, skills, and other job-related qualifications.
