Role Overview
This position supports the technical team with drydock coordination, vessel compliance follow-up, expenditure control, asset documentation, and day-to-day administrative assistance. The role is based in Eastern, Saudi Arabia and is focused on keeping technical operations organized, documented, and on track.
Drydock Support
- Help the Technical Superintendent prepare Authorisation for Expenditure documents by using the correct Work Breakdown Structure and ensuring the full scope is captured.
- Work with the AP team and suppliers on advance and milestone payment coordination.
- Plan, follow up, and monitor the spares and equipment needed for drydock activities.
- Maintain the Shipment Monitoring Form and keep it current.
- Coordinate with service engineers to collect, check, and verify submitted manhours and timesheets.
- Monitor variation orders raised by the shipyard and keep the cost control team informed.
- Follow up on the closure of open purchase orders raised by the technical executive team.
- Escalate any unresolved drydock items, delays, or open issues to the Technical Superintendent.
- Ensure drydock records are properly maintained and stored in the drydock SharePoint folder.
- Keep key drydock documents organized for later review and for use in future planning.
Budget Preparation
- Bring together recurring subscription fee records from SAP/ANS NS and submit them to the Technical Manager for reference.
Technical Vessel Operating Expenditure Monitoring
- Assist the Technical Manager with basic review and analysis of vessel operating expenditure trends and differences.
- Support the monthly review of accruals related to Technical VOE.
Asset Management and Compliance
- Keep vessel trading certificates updated and valid.
- Handle renewal applications for important certificates such as the Bunker Convention Certificate, ship station license, and Wreck Removal Certificate through the vessel flag.
- Pull ABS NS reports for sharing and flag critical matters to the Technical Superintendent and Technical Manager.
- Prepare and distribute the monthly vessel compliance status report.
- Assist with documentation needed for insurance claims.
- Download quarterly class status reports from class websites and arrange their circulation to vessels.
- Track vessel offloads of lube oil, fuel oil, and fresh water samples for shore laboratory testing.
Other Support
- Prepare purchase orders for technical spending.
- Provide administrative support to the technical team, including arranging delivery follow-ups for critical vessel parts, processing urgent ad hoc payment requests, and making travel arrangements.
- Process non-PO transactions through Esker.
- Carry out inventory count reconciliation.
Additional Information
The role includes coordination across finance, vendors, shipyards, service engineers, and internal technical stakeholders. It requires consistent documentation discipline, follow-up on outstanding actions, and support for both operational and compliance-related technical tasks.
