Overview
New American Funding is a U.S.-wide mortgage lender focused on delivering customized home financing options to borrowers nationwide. The Executive Assistant, Strategy is a senior-level administrative partner who supports leaders in the Strategy organization with day-to-day coordination and operational follow-through. This person will manage calendars, plan meetings and events, support executive communications, and help keep strategic work moving smoothly. The role calls for someone who is highly organized, resourceful, and able to juggle shifting priorities in a demanding environment. Collaboration will extend across Product, Technology, Customer Success, Strategic Partnerships, Enterprise Portfolio Strategy, and other teams to improve efficiency and executive productivity.
Compensation: $75,000+ based on experience, plus benefits.
Location: Remote. If the selected candidate lives within 31 miles of Santa Ana, CA or Austin, TX, they must be able to work onsite 4 days per week.
Responsibilities
- Partner with the Executive Assistant Team Lead and Business Support group to align schedules, support team development efforts, share practical knowledge, and deliver a consistently strong experience for leaders and stakeholders.
- Provide hands-on administrative support to Strategy executives, including calendar coordination, meeting setup, travel planning, and expense submission.
- Oversee complicated scheduling across several leaders, functions, and time zones while adjusting to changing priorities.
- Create, refine, and send out executive-facing communications, presentations, reports, and related materials.
- Act as a point of contact between executives and internal or external partners, making sure messages are timely and follow-up actions are completed.
- Keep documents, meeting notes, action items, and trackers organized so leaders have clear visibility into progress and commitments.
- Support budget monitoring, invoice handling, purchase requests, and other operational administrative tasks.
- Work with cross-functional partners to collect information, coordinate deliverables, and keep priorities aligned.
- Stay ahead of executive needs, spot scheduling or workflow risks early, and put practical solutions in place.
- Manage confidential and sensitive information with professionalism and sound judgment.
- Help with onboarding, employee engagement, recognition activities, and other culture-focused initiatives.
- Use technology and AI-enabled productivity tools to streamline organization, communication, and meeting preparation.
- Look for ways to improve administrative processes and strengthen executive support operations.
- Communicate priorities, needs, and dependencies clearly across teams and stakeholders.
Requirements
- At least 5 years of experience supporting senior executives, ideally in a fast-moving corporate setting.
- Background supporting multiple leaders and handling complex calendars.
- Strong organization, prioritization, and time-management abilities.
- Excellent written and verbal communication skills.
- Proven ability to handle sensitive information discreetly.
- Advanced proficiency with Microsoft Office and virtual collaboration platforms.
- Experience arranging meetings, events, travel, and executive communications.
- Careful attention to detail and a strong track record of accurate execution.
- Independent, proactive, and able to anticipate needs without close supervision.
- Flexible, inventive, and solution-focused mindset.
- Prior exposure to Product, Technology, Strategy, Finance, or similar corporate functions is preferred.
- Experience with AI-based productivity tools is preferred.
- Must be able to verify identity and employment eligibility for work in the U.S.
- Physical requirements include the ability to lift up to 10 pounds, sit or stand for extended periods, perform occasional bending, kneeling, crouching, reaching, and twisting, and use a keyboard and office equipment repeatedly. Normal visual and hearing ability, with or without correction, is also required.
