Role Overview
Prosek Partners is looking for an energetic and polished Office Manager & Executive Assistant to help run the Boston office and provide support to several senior leaders. This position partners closely with the operations team and calls for someone who is proactive, organized, adaptable, and comfortable handling a wide range of tasks with a positive, can-do approach.
Office Management
- Act as the main front-desk contact for clients and visitors, greeting them and making sure their needs are addressed.
- Keep shared office areas such as the kitchen and conference rooms tidy and functional.
- Monitor office supplies and place orders when stock runs low.
- Create, improve, and uphold office processes and routines.
- Build working relationships with building staff and share relevant updates with the internal team.
- Plan and help run culture-focused office activities, including off-sites, happy hours, and other ad hoc events.
- Manage the office calendar and coordinate internal and external meetings, meals, and calls using Outlook, Zoom, and iPhone calendar tools.
- Prepare agendas and calendar notes, keeping track of upcoming priorities and meetings that may need to be scheduled or executed quickly.
- Serve as a key contact for meeting coordination with internal teams, account groups, clients, the building manager, and the facilities coordinator, including conference room setup and teardown.
Executive Assistant Support
- Provide executive assistant support to 2-3 Prosek executives.
- Schedule internal and external meetings when requested.
- Arrange business travel as needed.
- Assist with expense tracking and time entry.
- Step in as backup support for other executive assistants during outages.
Requirements
- Be available to work onsite five days per week.
- Hold a bachelor's degree from an accredited university.
- Bring 1-2 years of administrative experience.
- Be comfortable using Microsoft Outlook, Word, PowerPoint, and Excel.
- Communicate clearly in both written and verbal form.
- Stay highly organized and attentive to detail.
- Take initiative and work independently as a self-starter.
- Be resourceful and able to solve problems effectively.
- Collaborate well in a team-oriented environment.

Compensation
The expected salary range for this position is $50,000 to $60,000 per year. Final pay is based on factors such as relevant experience, qualifications, skills, seniority, location, performance, and business needs. Total rewards may also include medical, dental, and vision coverage, 401(k) matching, new business commission, paid time off, and other benefits.
