Role overview
The Procurement Manager will oversee procurement activities for the Society portfolio, ensuring the business secures high-quality goods and services at strong value while upholding premium brand expectations. Based within the Operations function and reporting to the Operations Director, this position supports the organisation’s continued growth as Qatar’s leading multi-brand wellness and lifestyle group by strengthening supplier partnerships, improving commercial outcomes, and helping ensure smooth delivery of products and services that enhance the member experience.
The role leads a small team that includes the Procurement Officer, Warehouse Supervisor, and works closely with the Facility Management Supervisor. It also partners regularly with Finance, Club Management, regional operations, Head of Living, IT support, F&B, external suppliers, contractors, and other internal stakeholders.
Core responsibilities
This position is responsible for setting procurement direction, managing sourcing activity, negotiating contracts, overseeing supplier performance, and ensuring governance and compliance across all purchasing activity. It also covers category management, facilities and maintenance sourcing, capital project support, and team leadership.
Strategy and planning
- Design and implement a group-wide procurement approach that supports business goals, expansion plans, and premium brand standards.
- Maintain a procurement plan across all key spend areas, including fitness equipment, F&B, spa and wellness, facilities, maintenance, retail, IT, and professional services.
- Spot and act on opportunities to consolidate spend, reduce costs, and improve total cost of ownership.
- Support yearly budget planning with Finance and Operations, making sure procurement commitments are properly captured.
Sourcing and supplier management
- Run competitive sourcing exercises such as RFIs, RFQs, and RFPs across all procurement categories with transparency and value in mind.
- Find, assess, and onboard suppliers that meet the company’s standards for quality, sustainability, performance, and compliance.
- Keep an updated supplier register for Qatar and GCC markets, including preferred and approved vendors.
- Manage the full supplier lifecycle, from onboarding and performance review through renewal and offboarding, using KPIs and SLAs.
- Serve as the main relationship owner for key group suppliers and build long-term strategic partnerships.
Contracts and commercial management
- Negotiate pricing, payment terms, commercial conditions, and contractual obligations with suppliers.
- Own and maintain the group supplier contract repository, ensuring agreements stay current, compliant, and commercially sound.
- Work with Finance and, where necessary, legal counsel on contract risk, warranties, indemnities, and dispute handling.
- Track spending against contracts and budgets, flagging variances and proposing corrective actions where needed.
Facilities, maintenance, and capital projects
- Source planned and reactive maintenance services, engineering support, and specialist contractors across all sites.
- Support capital initiatives such as club refurbishments, new site openings, and fitness equipment upgrades.
- Coordinate closely with the Facility Management Supervisor to ensure facilities-related procurement is delivered on schedule and within budget.
- Ensure all contractor and supplier engagements comply with Qatar health, safety, and building requirements.
Operations and category management
- Manage procurement across gym equipment, food and beverage supplies, spa products, retail merchandise, uniforms, IT hardware and software, marketing materials, and professional services.
- Work with the Warehouse Supervisor so stock levels, receiving workflows, and inventory control align with business needs.
- Handle import logistics, customs clearance coordination, and supplier lead times to reduce supply chain disruption.
- Continuously improve procurement processes, systems, and controls.
Governance and compliance
- Ensure procurement practices follow Qatar commercial law, internal financial policies, and Al Mana Group governance requirements.
- Keep accurate procurement records, spend reports, and analytics for the Operations Director and Finance Manager.
- Apply purchasing controls, approval limits, and workflow rules consistently.
Team leadership
- Lead, coach, and manage the performance of the Procurement Officer and Warehouse Supervisor.
- Set clear goals, provide regular feedback, and support professional growth within the team.
- Create a collaborative and high-performing procurement culture.
Success measures
- Achievement of cost savings and value delivery against procurement budget targets.
- Supplier performance measured through SLA and KPI compliance across key categories.
- Increased contract coverage, with a higher share of spend under active managed agreements.
- PPM completion and reactive maintenance SLA performance through the Facility Management Supervisor.
- Faster procurement cycle times from requisition to purchase order.
- Full compliance with Qatar commercial regulations and Al Mana Group governance standards.
- Strong engagement and development of the Procurement Officer and Warehouse Supervisor.
Experience and qualifications
The ideal candidate will have at least 5 years of experience in a Procurement Manager or Senior Procurement role, preferably within multi-site leisure, hospitality, fitness, or retail operations. The role requires end-to-end procurement expertise, including strategy development, sourcing, supplier management, contract negotiation, and performance tracking. Experience purchasing across categories such as gym equipment, facilities, maintenance, food and beverage, retail, spa and wellness, IT, and professional services is important.
Applicants should have handled complex supplier agreements and commercial negotiations in a GCC or international setting, and should have a proven record of managing procurement budgets while generating savings without lowering quality or brand standards. Prior experience leading a small procurement or operations team is required, along with cross-functional collaboration with Finance, Operations, and Facilities. Familiarity with Qatar or GCC supplier markets, import and logistics processes, and relevant commercial regulations is strongly preferred. Exposure to procurement systems such as ERP platforms, e-procurement tools, and spend analytics solutions will be an advantage.

- CIPS Level 4 or higher, or currently working toward it.
- CIPS Level 5/6 (MCIPS) is highly desirable.

- Strategic planning skills to shape a procurement function that supports business growth and brand quality.
- Ability to build productive supplier relationships at multiple levels.
- Analytical thinking for spend analysis, cost modelling, and data-based decision-making.
- Confident leadership, with the ability to direct, develop, and hold team members accountable.
