Role Overview

As a Repairs Planner, you will manage planning, administration and customer communication for an assigned project. The role involves keeping appointments, visits and completions on schedule, coordinating with the client and internal teams, and ensuring everyone is kept informed of the latest updates. Regular communication by email and phone is an essential part of the position.

Key Duties

  • Maintain planning, administrative and customer liaison support for the allocated project.
  • Track appointments, site visits and job completions to make sure deadlines and agreed timescales are met.
  • Keep Total Mobile updated at all times and ensure all information entered is accurate for reporting purposes.
  • Create new job records in Total Mobile.
  • Contact residents to book validation surveys and post-inspection surveys.
  • Assign the correct job codes to site managers for validation and post-inspection activities.
  • Deal with client questions relating to access arrangements for properties.
  • Prepare letters to residents at different stages of the job process.
  • Monitor shared inboxes where needed so email actions are handled within target times.
  • Support the Disrepairs Team with general administrative tasks.
  • Raise purchase orders when instructed.
  • Attend client meetings when required.

Requirements

  • A relevant administrative qualification, or equivalent hands-on experience.
  • Previous experience in a similar planning or administrative role.
  • Proven ability to work in a fast-paced environment while delivering a reliable, high-quality service.
  • Experience in a customer-facing setting.
  • Confident use of Microsoft Office tools, including Outlook, Excel and Word.
  • Awareness of equality matters and the ability to work with an inclusive mindset.
