Role overview
Bolands Waterford is looking for a meticulous and well-organised Accounts Assistant to support the daily accounting activity of the dealership. The position has a strong focus on vehicle billing, accounting for manufacturer support, and balancing back-end vehicle margin records.
The right person will bring strong numerical precision, solid administrative ability, and the confidence to handle a busy dealership setting.
Core responsibilities
Vehicle invoicing and sales accounting
- Prepare and issue vehicle sales invoices accurately and within the required timeframe.
- Confirm that every vehicle deal pack is complete and meets compliance standards before invoicing.
- Check vehicle costs, retail pricing, trade-in values, and any related charges.
- Record vehicle purchases, sales, and transfers in the Dealer Management System (DMS).
- Work with the sales team to resolve documentation issues and deal-related queries.
Manufacturer support and incentives
- Record manufacturer support payments, bonuses, rebates, and dealer incentive amounts.
- Match manufacturer statements and make sure all eligible supports are claimed and received.
- Track pending claims and follow up with manufacturers when required.
- Keep accurate schedules for bonus accruals and support-related payments.
- Assist with month-end reporting for franchise and manufacturer support items.
Back-end margin reconciliation
- Reconcile back-end vehicle margins, including finance commission, warranty revenue, and other ancillary product income.
- Identify and fix differences between expected margins and the actual figures recorded.
- Prepare margin analysis reports for management review.
- Ensure all back-end income is posted correctly and backed up with the right documentation.
Skills and experience
The ideal candidate should already have experience in accounts or bookkeeping, preferably in the motor trade. Prior exposure to vehicle invoicing and dealership accounting systems would be an advantage. A solid grasp of reconciliations and accounting controls is important, along with a high level of accuracy, good organisation, and effective time management. Strong communication and interpersonal skills are also needed, as well as the ability to use Microsoft Excel and accounting software/DMS platforms confidently. The role also requires someone who can work on their own and collaborate well with others.
