Role overview

Clarity Consultants is supporting a major oil and gas organization with a training transformation program, and the learning team is expanding. This contract role is for an Assistant Project Manager who brings solid experience in project administration, project controls, resource coordination, and logistics. Strong Smartsheet skills, particularly with the Resource Management tool, are essential. The right candidate will be highly organized, comfortable communicating across teams, and able to work collaboratively in a consulting environment. Background in upstream oil and gas or broader energy work would be an added advantage.

In this position, you will partner closely with the Project Manager and help keep training-related projects on track through careful coordination, accurate reporting, and efficient administrative support. You will help maintain documentation, support workflow discipline, and strengthen communication across the team so project milestones are met smoothly.

Key responsibilities

  • Collect approved timesheets, refresh burndown charts, and keep project schedules current.
  • Create and circulate status and progress reports.
  • Handle administrative coordination tasks, including invoice preparation and meeting minute documentation.
  • Support communication across the project team and help keep information flowing effectively.
  • Assist the Project Manager with a range of project tasks to help deliver agreed objectives.

Core capabilities

  • Keep project records and documentation accurate, orderly, and current.
  • Support smooth project execution through precise reporting and reliable data handling.
  • Contribute to strong teamwork and clear communication.
  • Help the Project Manager move work forward and stay aligned to milestones and deliverables.

Schedule and location

This assignment is expected to begin as soon as possible and will run for 6+ months, with a chance of extension. It is structured as part-time work, though there may be occasions when full-time hours are needed depending on project demand. Hours are variable and will be set based on business needs. The role is fully virtual.

Technical and work environment requirements

  • Hands-on experience with Smartsheet, including the Resource Management module for capacity planning, resource allocation, and project tracking.
  • Strong project controls background covering scheduling, resource planning, forecasting, reporting, risk tracking, and governance processes.
  • Ability to manage multiple priorities and coordinate effectively with cross-functional stakeholders.
  • Comfort with technical subject matter and industry-specific project challenges.
  • Must be able to work methodically, meet deadlines, and communicate clearly.
  • Work must be performed exclusively on a PC for the duration of the assignment.

Experience and education

  • Prior project administration experience with excellent attention to detail and strong organizational habits.
  • Bachelor’s degree in education, project management, business administration, or a closely related discipline.
  • Experience in upstream oil and gas or energy environments is preferred.

Compensation and employment terms

The pay range for this role is $30.00 to $35.00 per hour on a W2 basis. Final compensation will depend on factors such as skills, years of experience, relevant education, certifications, and work location.

Because this is a virtual opportunity, a large volume of interest is expected. Candidates may not receive an immediate personal reply, but all resumes and email responses will be reviewed.
