Role Overview
As a Client Support Specialist, you will support audit operations and help ensure client audits are managed smoothly from setup through claim processing, approvals, reporting, and billing. You will serve as the main coordination point among auditors, vendors, clients, and the Nepal-based Audit Support team. This role suits someone who is well organized, detail-focused, adaptable, and comfortable working in a busy environment where priorities can change quickly.
Key Responsibilities
- Set up new clients and new audits by coordinating with auditors and following established audit procedures.
- Act as the central contact for auditors, vendors, clients, and internal support teams during the audit lifecycle.
- Prepare claims and share them with clients, buyers, and vendors for review and approval.
- Track audit-related emails and follow up promptly on pending items.
- Discuss claim approvals, disputes, supporting documents, and audit progress with auditors and vendors.
- Keep records current in FlexTecs’ internal systems, including claim data, documents, correspondence, and workflow updates.
- Review claim activity regularly and reconcile records so statuses remain accurate.
- Create weekly and monthly client reports and maintain audit files and documentation.
- Compile monthly billing information for approved claims and enter invoice details into the tracking system.
- Work closely with U.S.-based auditors and the Nepal Audit Support team to keep audits moving and meet client expectations.
- Adjust workflows to match client-specific needs while still following core procedures.
- Provide support to other Audit Support team members as needed.
- Contribute to a positive team culture while delivering strong service to internal and external stakeholders.
Requirements
- Strong organization and the ability to manage several priorities and deadlines at once.
- High attention to detail and a consistent focus on accuracy.
- Self-driven work style with the flexibility to handle shifting priorities and work independently.
- Good problem-solving and critical-thinking ability.
- Excellent spoken and written communication skills.
- Professional, confident client and vendor communication, including the ability to handle difficult conversations diplomatically.
- Customer-service oriented approach with a focus on building positive working relationships.
- Comfort using Microsoft Office tools, especially Excel, Outlook, and Word.
- Ability to quickly learn new software and maintain accurate records in proprietary systems.
- Collaborative attitude and willingness to assist teammates when required.
Preferred Qualifications
- An associate’s degree or bachelor’s degree is preferred.
- At least 2 years of experience in administrative support, customer service, account coordination, audit support, or project coordination.
- Experience using multiple systems or databases.
- Background supporting remote or globally distributed teams.
