This position is for an executive assistant supporting leadership and administrative operations in an office setting in India. Core responsibilities
The executive assistant will manage calendars, keep daily schedules updated, and make informed decisions when direct guidance is unavailable. The role also includes handling detailed travel arrangements and itineraries, spotting conflicts or risks in advance, and adjusting plans when needed to keep priorities on track.
Day-to-day support will include submitting timesheets and expenses on time, safeguarding confidential information, and maintaining strong working relationships across internal teams and client-facing offices. The position requires a proactive, energetic, and cooperative approach, along with the flexibility to support other teams, cover for colleagues when needed, and participate in office, team, and firm events or meetings.
The person in this role will support the leadership team with administrative and secretarial work and will be based in one of the firm's offices in India. A six-month probation period applies.
Skills and qualifications
- 2 to 10 years of relevant experience.
- Strong working knowledge of Word, Excel, PowerPoint, and Outlook.
- Good understanding of travel arrangements including air and train tickets, hotels, cars, passports, visas, foreign exchange, and international credit cards.
- Ability to organize and deliver large meetings and conferences across multiple time zones and cultures in a composed, professional manner.
- Polished phone manner and executive presence, with the ability to answer calls promptly, record messages accurately, and respond appropriately when needed.
- Sound judgment, practical decision-making, and effective problem-solving.
- Strong multitasking ability in a deadline-driven, high-pressure environment with ambiguity.
- Clear communication skills to coordinate effectively and ensure high-quality outcomes.
- Excellent written and spoken English.
Additional terms
This role includes a 6-month probation period. The position is office-based in India and involves managing administrative matters for firm leadership.
