About the role

This role sits at the center of a fast-moving aerospace workplace in Munich, where teams focused on defense and autonomy depend on a smooth, well-run office to do their best work. As the Office Manager, you will own the day-to-day running of the space and ensure the environment is organized, efficient, and ready to support roughly 150 engineers and corporate employees.

Destinus develops advanced unmanned aerial vehicle technologies for defense applications, working with government bodies and defense organizations around the world. The company’s solutions are designed to deliver high speed, precision, and cost efficiency for mission-critical operations.

What you will do

  • Take full responsibility for the Munich office, making sure the space opens properly, stays well organized, and remains stocked and operational at all times.
  • Create a polished front-desk and reception experience by greeting guests, handling communications, and maintaining a professional atmosphere.
  • Plan and coordinate meetings from start to finish, including room setup, materials, and other logistical details.
  • Serve as the main contact for office premises and employee housing, coordinating with landlords and resolving matters efficiently.
  • Oversee the company vehicle fleet, including registrations, maintenance servicing, insurance, and everyday coordination with users.
  • Manage relationships with external vendors to maintain quality standards for cleaning, catering, maintenance, and security services.
  • Work with People and HR teams to support a smooth onboarding experience for new employees.
  • Help organize internal events, town halls, and team culture initiatives that strengthen connection across the Munich office.
  • Contribute to office upgrades, small improvements, and larger refurbishment efforts as the organization grows.
  • Coordinate with Office Managers across Europe to align workplace standards and share effective practices across locations.
  • Ensure the office meets local rules and requirements related to health, safety, fire protection, and accessibility.
  • Maintain risk assessments, emergency procedures, and certifications in collaboration with internal teams and building management.

Requirements

  • Prior experience as an Office Manager, Front Office Manager, or Senior Administrative Assistant in a busy professional environment.
  • Solid knowledge of office operations, administrative workflows, and workplace procedures.
  • Strong planning and coordination skills with the ability to juggle several priorities effectively.
  • Excellent written and spoken communication skills in English and German; Ukrainian is an advantage.
  • Practical, hands-on approach with strong attention to detail and a strong sense of accountability.
  • Comfort dealing with vendors, landlords, and senior stakeholders.
  • Ability to manage confidential information with discretion and good judgment.

Who you are

You do well in fast-paced settings where priorities can shift quickly and high standards are expected. You take initiative, bring structure where it is needed, and look for ways to improve how things operate. You enjoy creating a great experience for others and take pride in building an environment where people can perform at their best. You are collaborative, positive, and committed to delivering quality in everything you do.
