Role Overview

The Project Coordinator will support the Creative Services team by managing schedules, communications, logistics, and project flow for video, podcast, photo, and content marketing work. Reporting to the Director of Design & Creative Operations and partnering closely with the Creative Director and Senior Project Manager, the coordinator helps ensure projects progress smoothly from kickoff through delivery. This position also acts as a coordination hub for marketing partners, stakeholders, vendors, and internal creative teams.

Key Responsibilities

This role includes organizing production logistics for creative projects, especially photo and video shoots, such as arranging schedules for providers, donors, patient families, and staff; keeping shoot calendars current; reserving rooms and locations; and providing on-site support when needed.

The coordinator also helps manage podcast production by lining up host and guest schedules, confirming studio and equipment readiness, supporting pre-show tasks, and keeping the editorial calendar accurate when changes arise.

In addition, the position supports content marketing initiatives across video, blog, and social channels tied to key clinical programs and service lines. This involves building and updating timelines, tracking deadlines and milestones, aligning timing and inputs across teams, and helping projects move through production and launch.

Project tracking and reporting are also part of the job, including status updates, progress monitoring, and early identification of delays or risks in partnership with the Senior Project Manager.

The coordinator will work with outside vendors such as photographers, videographers, and production partners to confirm bookings and logistical details, and will also manage the retrieval and distribution of video assets, including b-roll and final files, to internal stakeholders and media contacts.

Additional duties may be assigned as needed.

Pay and Benefits

The salary range for this position is $59,280 to $96,928 per year. The organization offers a comprehensive benefits package for full-time and part-time employees who work at least 20 hours per week.
