About the role
Iron Mountain is looking for a meticulous Records & Data Entry Specialist to support its Records Management team in Whitehall, Dublin 9, as part of a new project focused on digitising property records in Ireland. This assignment is offered as a 12-month fixed-term contract and involves preparing legal documents for scanning with a strong emphasis on accuracy, compliance, and document control.
Iron Mountain works across records and information management, digital transformation, data centres, asset lifecycle management, and fine art storage, handling, and logistics. The organisation supports customers worldwide by helping preserve valuable assets, improve access to information, protect data privacy, and enable more sustainable business practices.
What you will do
- Carefully compare the contents of each deeds box against the corresponding manifest to confirm that all required documents are present and ready for digitisation.
- Complete data entry and sign-off steps to keep document status records accurate and aligned with internal standards and regulatory requirements.
- Identify and report missing items, mismatches, or data issues, and escalate concerns to a supervisor without delay so project timelines and data quality are maintained.
- Share practical feedback on document preparation and process flow with team leaders to help improve procedures, accuracy, and day-to-day efficiency.
- Carry out light manual tasks such as moving and arranging boxes of deeds within the records facility, while working closely with scanning and warehouse teams to keep operations running smoothly.
Skills and experience
The ideal candidate will bring prior exposure to document handling, data entry, administration, or warehouse operations. Strong attention to detail is essential, particularly when working through repetitive tasks that require consistent accuracy. Excellent spoken and written English is required to understand documents and communicate clearly. Familiarity with records facilities or warehouse environments would be an advantage.
Working pattern and benefits
- Fixed schedule: Monday to Friday, 8:30 AM to 5:00 PM.
- Competitive salary.
- 23 days of annual leave plus bank holidays, with additional leave gained through longer service.
- Laya Health Insurance and a confidential Employee Assistance Program for you and your family.
- Pension plan with company contributions of up to 7%, depending on your own contribution.
- Life assurance cover equal to four times your annual salary.
- Optional benefits including dental insurance, a bike-to-work scheme, discounted fitness memberships, and an electric vehicle scheme.
