Job Summary
We are looking for a highly organized Documentation Specialist to develop, refine, and maintain accurate business, operational, and technical materials while working remotely. In this role, you will help keep information current, easy to understand, and aligned with internal standards so teams can work more efficiently, stay compliant, and share knowledge effectively.
What You'll Do
- Draft, update, review, and proofread a variety of business, technical, and operational documents.
- Prepare SOPs, user manuals, policies, guides, and reports.
- Check documents for correctness, consistency, and adherence to compliance requirements.
- Maintain structured digital records, files, and document libraries.
- Work with teams across functions to collect information and incorporate changes.
- Apply strong version control and document governance practices.
- Assist with audit, regulatory, and compliance-related documentation needs.
- Turn complex topics into clear, practical, and easy-to-use content.
- Suggest improvements to documentation systems and knowledge-sharing workflows.
Requirements
- A bachelor’s degree in English, Communications, Business Administration, IT, or a similar discipline is required.
- At least 1 to 4 years of experience in documentation, technical writing, content administration, or administrative support.
- Strong written and spoken communication skills.
- Excellent editing, proofreading, and formatting abilities.
- Very strong attention to detail and solid organizational skills.
- Comfort using Microsoft Office tools such as Word, Excel, and PowerPoint, along with Google Workspace.
- Familiarity with documentation and collaboration platforms such as Confluence, SharePoint, Notion, and Adobe Acrobat.
- Ability to manage work independently in a remote setting.
Preferred Experience
- Background in technical writing, SOP development, compliance documentation, or quality-related documentation.
- Exposure to regulated sectors like healthcare, fintech, SaaS, or legal services.
- Understanding of document control, knowledge base administration, and version tracking systems.
- Experience collaborating with distributed or international teams.
- Familiarity with process improvement and workflow documentation methods.
