Role Overview
This opportunity is for a highly organized and creative Event Manager who can drive the planning and delivery of large-scale corporate conferences and experiential programs. The position plays a central role on the event team and works closely with internal partners, agencies, production vendors, and content leaders to create polished, high-impact attendee experiences.
The assignment is fully remote and is structured as a W2 engagement with a Fortune 500 client based in Silicon Valley. The person selected will help support a portfolio of major global accounts while also participating in internal communities of practice, networking opportunities, and career development activities.
Core Focus Areas
The role combines conference planning, event production, brand execution, content coordination, and experiential event support. Success depends on the ability to manage several workstreams at once, keep cross-functional teams aligned, and solve problems quickly in a fast-moving environment.
Event Branding & Signage
- Direct the project flow for creative and design teams handling event branding, environmental graphics, and signage production.
- Build and maintain detailed signage placement plans for conference spaces.
- Prepare attendee-facing venue maps and wayfinding plans.
- Make sure all visual event elements follow brand standards and support the event’s goals.
- Oversee review cycles, approvals, production schedules, and installation timing.
Production & Venue Experience
- Work with production agencies and vendors to define audiovisual needs, staging, furniture, décor, and other event infrastructure.
- Help shape event environments that improve engagement and create a stronger conference experience.
- Coordinate with venue and production teams to ensure smooth delivery on site.
Conference Track Management
- Manage several content tracks at the same time and keep milestones on schedule.
- Partner with content leads on speaker rosters, session summaries, agendas, and supporting content assets.
- Monitor plans closely and identify risks, dependencies, and staffing needs early.
- Run recurring stakeholder meetings and status check-ins to keep everyone aligned.
Experiential & Ancillary Events
- Contribute ideas for activations, networking opportunities, and supporting events.
- Work with internal teams and agencies to build interactive event moments that support business objectives and attendee satisfaction.
- Support the evaluation and use of event technology and engagement tactics.
Operations & Stakeholder Management
- Develop and maintain strong working relationships with internal teams, agencies, venues, and vendors.
- Handle multiple simultaneous projects while keeping a high level of accuracy and detail.
- Track schedules, budgets, approvals, and deliverables across all event workstreams.
- Assist with on-site execution and issue resolution when needed.
Speaker Management Workstream
- Lead the cross-functional speaker management stream for WebexOne 2026, covering strategy, planning, execution, organization, collaboration, and issue unblocking.
- Manage the Rainfocus Speaker Portal and receive training on related tools such as Rainfocus, Socio, OneDrive/Office, and Webex.
- Own the speaker management process and tools for the event.
- Oversee content management workflows and update systems for all speaker types, including Cisco and external speakers.
- Coordinate with speaker sourcing teams and stakeholder groups to ensure speakers are approved, onboarded, and supported.
- Provide frequent status updates on approvals, agreements, logo approvals, headshots, bios, travel, lodging, rehearsals, and speaking times.
- Schedule and support rehearsals, speaking sessions, and other key deadlines.
- Store signed speaker agreements in OneDrive and track any contract modifications or restrictions.
- Share communication templates and resources so speakers receive timely, accurate information.
- Coordinate the speaker hotel room list with the housing team.
- Ensure speakers know where to go, whom to meet, what to wear, and when to be ready on site.
- Keep speaker information current across Rainfocus, Socio, the website, slides, and spreadsheets in partnership with the event app manager and other stakeholders.
- Make sure workstream contributors and key stakeholders meet deadlines.
- Provide white-glove support for executive and VIP or C-suite speakers.
- Partner with the travel coordination team to support customer travel booking and track actual spend.
- Maintain key speaker-tracking slides in event decks.
- Document speaker-management processes and lessons learned.
- Prepare post-event reports and metrics covering speaker and session performance.
- Ensure thank-you notes and other post-event communications are sent.
Role Details
Location: Remote in the USA, with preference for Central or Eastern time zones. The event itself is in Austin, Texas.
Duration: Ongoing
Compensation: DOE plus full benefits
Interview Process: 3 rounds conducted via Webex video
Travel: Travel is likely, though exact requirements are still to be determined. On-site support is expected for the event, including setup and execution from Saturday, October 3 through Thursday, October 8, with the event taking place October 5 to October 8.

In addition to client-facing work, the role includes participation in internal practice-community meetings, thought leadership activities, case studies, learning content, digital transformation materials, networking events, and career-growth discussions.
