Role overview
ARISE IIP is hiring an Executive Assistant in Dubai to support the Chief Operating Officer in day-to-day work and strategic coordination. This position calls for someone extremely organized, self-driven, and comfortable working in a busy, fast-moving environment. The role acts as a bridge between the COO and other teams, combining administrative, communication, project, and operational support.
Administrative support
- Keep the COO’s schedule organized by arranging meetings, travel, and appointments.
- Compile and prepare meeting packs such as agendas, presentations, and reports.
- Manage sensitive and private information with a high level of trust and professionalism.
Communication and coordination
- Serve as the main contact point between the COO and both internal and external stakeholders.
- Review, prioritize, and handle calls, emails, and general queries on behalf of the COO.
- Arrange meetings across departments and ensure action points are completed after discussions.
Project management
- Support important projects by monitoring timelines, outputs, and ongoing progress.
- Draft project updates and summary reports for the COO’s review.
- Follow up with department leaders to help ensure tasks are completed on schedule.
Operational support
- Research business topics, gather information, and prepare briefing notes for the COO.
- Assist with daily operations by coordinating with relevant departments.
- Track and support key performance indicators so work stays aligned with business goals.
Event planning
- Plan and coordinate internal and external events such as executive meetings, conferences, and team-building activities.
- Handle logistics for business travel, corporate events, and client visits.
Requirements
- 5 to 7 years of experience as an Executive Assistant, ideally in support of C-level leadership.
- Background in demanding, high-pressure workplaces is preferred.
- Bachelor’s degree in Business Administration, Management, or a similar field.
- Excellent organization and time management abilities.
- Strong written and spoken communication skills.
- Comfort using Microsoft Word, Excel, PowerPoint, and project management tools.
- Ability to manage confidential matters with discretion and integrity.
- Flexible, proactive, and able to balance multiple priorities at once.
- Fluency in both English and French.
