Role overview

In this position, you will act as the key contact for exhibitors at global fairs, working closely with their Exhibitor Project Managers from the first idea through final delivery. Your responsibility will be to convert technical, design, and logistical needs into practical, well-executed solutions. The role covers planning, quoting, on-site execution, and post-event reconciliation, with an emphasis on delivering a smooth and premium experience throughout the project lifecycle.

Pre-event planning and project development

  • Serve as the primary contact for exhibitors and their project managers, handling questions and turning creative and technical requests into workable solutions.
  • Manage projects from the initial booth briefing stage through final approvals.
  • Prepare and maintain technical drawings and floor plans in AutoCAD, ensuring all exhibitor requirements are accurately reflected.
  • Create detailed quotations and budgets, follow through on approval steps, and obtain the required confirmations to move ahead.
  • Recommend appropriate options for lighting, flooring, wall finishes, and custom features, while balancing visual impact, practicality, and cost.

On-site implementation

  • Oversee installation and construction activities on site, coordinating with suppliers and internal teams.
  • Track schedules, budgets, and quality standards so that all deliverables meet or exceed client expectations.
  • Resolve issues quickly and keep exhibitors informed throughout build-up and handover.

Post-event closeout

  • Manage dismantling activities to ensure the breakdown of gallery stands is orderly and efficient.
  • Handle final reconciliation tasks, including service review, cost checks, and invoicing support.

Cross-functional collaboration

  • Work closely with the Project Lead, production, logistics, and account teams to keep execution aligned.
  • Act as the central communication link between galleries, internal teams, and external partners during all project phases.

Profile and requirements

  • A degree or professional qualification in Architecture, Construction, Event Management, Business Administration, Project Management, or a similar field is preferred.
  • At least 3 years of experience in exhibition management, event production, architecture, construction, project management, or a related environment.
  • Ability to handle several projects at the same time in a fast-moving, client-facing setting.
  • Strong negotiation and stakeholder management abilities, including coordination with suppliers, contractors, and outside partners.
  • Excellent planning skills with the ability to control budgets, timelines, and deliverables effectively.
  • Proficiency in AutoCAD for technical drawing and space planning; knowledge of Revit, SketchUp, or comparable tools is an added advantage.
  • Strong working knowledge of Microsoft Office, especially Excel, Outlook, Teams, and PowerPoint, along with comfort using digital project collaboration tools.
  • Exposure to ERP systems and project management platforms is considered beneficial.
  • Good understanding of exhibition construction, temporary structures, and technical event production workflows.
