Role overview
This opportunity is with a large international engineering consultancy working on life science projects. The role sits within a compact core team and involves working alongside specialist professionals from multiple disciplines as needed. It is suited to someone with previous project administration experience, ideally gained in engineering or construction. The position requires the ability to work independently with limited supervision, strong written communication, and a solid grasp of document control and management practices. You will interact with both clients and internal teams.
Key purpose of the role
The Project Administrator will support the Project Manager in delivering services to client(s) and helping ensure project information, documentation, and communications are organised, accurate, and timely.
Core responsibilities
- Oversee, review, and manage information produced by the project team, including reports and briefing notes.
- Track, review, and manage information received from operators.
- Control important documents through a shared drive and keep the filing structure orderly.
- Coordinate and administer project documentation end to end.
- Submit and monitor project records such as meeting minutes, reports, letters, and similar documents.
- Handle routine administration tasks such as filing and reporting.
- Attend project meetings when needed, capture actions, and prepare meeting notes.
- Prepare drafts of reports and presentations for both internal and external use.
- Build dashboards and coordinate inputs so deadlines are met.
- Keep up-to-date knowledge of document status and provide internal updates when needed.
- Liaise with other teams, the wider business, and relevant stakeholders.
- Manage daily administrative work and keep internal procedures and processes current.
- Look for ways to improve operations, reduce turnaround times, simplify workflows, and support efficient service delivery.
Working relationship and communication
The successful candidate is expected to maintain positive working relationships with the internal team, support functions, and the client throughout the role.
Language requirement
Fluency in both written and spoken English is required.

This is a 2-year contract based in Cork, County Cork, Ireland. Hybrid working is available.
