Job Summary
The Stock Controller oversees the control and movement of hospital inventory, including medical consumables, medicines, equipment, and other essential materials. The role helps keep operations running smoothly by avoiding shortages and excess stock, improving cash flow, and supporting uninterrupted patient care. This position reports to the Supply Chain Manager.
Core Responsibilities
Inventory Control
- Keep inventory records up to date through the hospital’s inventory management system.
- Forecast demand and arrange replenishment for diagnostic items, medical consumables, and non-medical consumables.
- Carry out routine stock audits and physical stock counts to match actual stock with records.
- Track inventory levels and raise replenishment orders to maintain the right quantities.
- Supervise store officers.
Procurement Coordination
- Work with Senior Procurement Officers to decide order quantities for medicines, supplies, and equipment.
- Oversee the Supply Chain Centre of Excellence and ensure KPI targets and risk-control procedures are met.
- Monitor purchase orders and liaise with suppliers to make sure deliveries arrive on time.
Receiving and Storage
- Take delivery of incoming supplies and equipment and check them for accuracy and condition.
- Store items in line with hospital procedures and applicable regulatory standards.
- Arrange stockrooms and storage spaces so items can be accessed and retrieved efficiently.
- Ensure quality and safety requirements are consistently followed in the stores.
Distribution and Variance Control
- Issue supplies and equipment to hospital departments based on operational needs.
- Watch consumption trends to keep critical items continuously available.
- Quickly resolve any overstock or shortage concerns.
- Coordinate stock variance explanations and reconcile differences.
Compliance and Records
- Maintain adherence to hospital procedures, internal policies, and regulatory rules.
- Prepare and keep accurate records for stock receipts, issues, returns, and adjustments.
- Label and track all inventory items correctly to support traceability.
Communication and Support
- Work closely with nursing, clinical, and administrative teams to understand stock needs.
- Share timely updates on inventory status and possible supply risks.
- Train and support staff on inventory processes and store procedures.
Qualification and Experience
A qualification or certification in supply chain management, logistics, or a related discipline is preferred.
Candidates should have at least 5 years of experience in inventory management, ideally within a healthcare environment.
Skills and Competencies
- Strong planning, organization, and time management abilities.
- Background in storekeeping, stock control, or inventory administration, preferably in healthcare or pharmaceuticals.
- Good understanding of inventory principles, stock management procedures, and rules for handling medicines and medical supplies.
- Comfort using digital inventory systems, barcode scanning tools, and computer-based record keeping.
- High accuracy and attention to detail in data entry and stock records.
- Strong written and verbal communication skills with a team-oriented and service-focused approach.
- Ability to work with limited supervision and manage priorities in a busy environment.
