Role overview
An opportunity has opened up for a Document Controller to support an HV transmission project in Lincolnshire. This position sits within the Document Control / Information Management function, which is responsible for keeping project and operational information organised, secure, and easy to retrieve. The role is entirely on site.
What the role involves
You will handle the full document lifecycle across the project, from creation and revision through approval, issue, and archiving. The role also includes keeping records accurate, supporting compliance, and making sure information flows smoothly between teams and external stakeholders.
Key duties
- Receive, process, classify, and store documents in both physical and digital formats so they are correctly filed and readily available.
- Manage document control through every stage, including drafting, updating, approving, circulating, and archiving, in line with project and company standards.
- Check that documentation follows internal procedures, project expectations, and relevant regulations, and carry out routine reviews and audits.
- Coordinate with project teams, departments, and external partners so the right people have access to the latest document versions.
- Protect document integrity and confidentiality by maintaining version control and limiting unauthorised access or changes.
- Help project teams use the document management system correctly and follow document control procedures.
- Guide and train new joiners on document control processes and systems.
- Prepare reports on document status, distribution, archiving, and compliance for project review and senior management.
- Review document management workflows, assess efficiency, and suggest improvements where needed.
- Ensure archived records are stored securely and retained in line with legal and company requirements.
Essential experience and skills
The role is best suited to someone with around 2 to 5 years of experience in document control or information management, ideally gained in engineering, construction, or another technical project setting. Familiarity with how documentation supports the project lifecycle is important. You should be comfortable using document control software, database systems, MS Office, and related tools, and you need to be organised, accurate, and able to manage several priorities at once. Strong written and spoken communication, a collaborative approach, and the ability to work independently are all important.
Desirable background
A diploma or associate degree in Business Administration or Information Management would be advantageous. Training or certification in document management systems is also beneficial.
