Role overview
An opportunity is available for an Executive Assistant to support a senior leader within a Commonwealth Government agency in Sydney Pyrmont. This is a busy, high-impact position in a collaborative team where the work contributes directly to important outcomes. The role is a 12-month fixed-term arrangement covering parental leave, and applicants must be Australian citizens.
Workplace and arrangement

- Hybrid working model with 3 days in the office and 2 days working from home
- Monday to Friday schedule
- 35-hour working week
- Flexible hours available between 7:00 am and 7:00 pm
Key duties
In this role, you will provide senior-level administrative and coordination support to an executive in Development and Partnerships. The position requires someone who can stay organised, work ahead of deadlines, and keep multiple priorities on track in a fast-moving setting.
- Oversee a demanding calendar, email inbox, and shifting priorities
- Arrange meetings, draft agendas, and prepare papers for executive and board use
- Work with Directors and senior stakeholders to keep deliverables on schedule
- Draft briefings, presentations, and reports to assist decision-making
- Organise leadership meetings, including scheduling and minute preparation
- Monitor action items and chase follow-ups across teams
- Provide assistance with procurement, contracts, and finance-related administration
- Keep records accurate and current in platforms such as SharePoint and Salesforce
What you should bring
The ideal candidate will be an experienced and confident Executive Assistant who is comfortable partnering with senior leaders and thriving in a dynamic environment. You should be able to work independently, stay one step ahead, and communicate effectively with people at all levels.
- Background supporting a Director or senior executive
- Strong planning and prioritisation skills
- Ability to anticipate needs, take initiative, and adapt quickly
- Comfort engaging with senior stakeholders and building professional relationships
- Experience preparing board papers or executive submissions is an advantage
- Excellent attention to detail and sound problem-solving skills
- Strong written and spoken communication abilities
- Working knowledge of Microsoft Office plus SharePoint or Salesforce
- Capability to work autonomously and follow through on tasks reliably
