Role Summary
The company is hiring an Executive Assistant in Miami, Florida to support a Janssen International Vice President. This role is centered on executive administration, scheduling, travel, event coordination, procurement support, and cross-functional communication to keep leadership operations running smoothly.
Key Responsibilities
- Oversee and coordinate the full range of administrative work for the Janssen International Vice President.
- Maintain the executive’s calendar and manage scheduling priorities.
- Arrange business travel, including approved-ticket booking, hotel reservations, ground transportation, and congress registration when needed.
- Prepare and submit expense reports with the required supporting documents.
- Assist with procurement tasks in internal systems, including vendor setup, purchase request creation, invoice processing, and vendor payments.
- Gather, organize, and prepare reports and information for management use.
- Handle logistics for internal and external meetings and events, such as invitations, venues, meals, lodging, transportation, and audio-visual needs.
- Coordinate with other administrative teams, leaders, and cross-functional partners to support IVP business priorities.
- Work with a small group of administrative assistants to share policy updates, exchange relevant information, manage vacation and leave schedules, and maintain business continuity.
- Train newly hired assistant team members.
Requirements
- A high school diploma is required; an associate degree or bachelor’s degree is preferred.
- At least 6 years of related work experience is required.
- Strong command of written, spoken, and reading English, plus Spanish or Portuguese.
- Excellent verbal and written communication ability, along with strong interpersonal skills.
- Proficiency in Microsoft Office tools, including Teams, Word, Excel, PowerPoint, and Outlook.
- Comfort using communication and workflow platforms such as Our Source, Zoom, SharePoint, Workday, and Concur.
- Strong organizational discipline and a positive, proactive attitude.
- Ability to perform well in a fast-changing environment.
- Good relationship-building skills and a collaborative team mindset.
- This is an overtime-eligible position.
Compensation and Benefits
The expected base salary range for this role is USD 60,000 to 108,000 per year.
Benefits may include medical, dental, vision, life insurance, short- and long-term disability, business accident insurance, and group legal insurance. Eligible employees may also participate in the retirement pension plan and 401(k) savings plan, plus the long-term incentive program.
Time-off benefits may include 120 vacation hours per year, 40 sick hours per year (56 hours for Washington-based employees), 13 holiday/floating holiday days per year, up to 40 hours of work/personal/family time, 480 hours of parental leave within one year of birth, adoption, or foster care, 30 days of condolence leave for an immediate family member, 5 days for an extended family member, 10 days of caregiver leave, 4 volunteer days, and 80 hours of military spouse time off.
