Role overview
Area Substance Abuse Council (ASAC) is seeking an Executive Assistant to provide senior-level administrative and coordination support to the Executive Director. This role is centered on keeping executive priorities organized, supporting board activity, managing communications, and helping day-to-day operations run smoothly.
The position is based in Cedar Rapids, Iowa, and is part of an organization focused on improving lives, strengthening communities, and supporting people through lived experience, proven services, and human connection.
Core duties
- Oversee the Executive Director’s email, calendar, scheduling priorities, and administrative follow-through, using judgment to sort competing requests, deadlines, and matters that need escalation.
- Arrange Board of Directors meetings, including logistics, communications, supporting materials, agendas, and minutes.
- Track action items and follow-ups, monitor deadlines, and help ensure organizational commitments are completed on time.
- Act as the main contact for people needing access to the Executive Director and help manage communication with both internal teams and outside stakeholders.
- Support donor recordkeeping, acknowledgements, and stewardship activities through the CRM.
- Coordinate logistics for meetings and special events, such as scheduling, materials, catering, room setup, and cleanup.
- Keep files, records, and documentation accurate and organized in both digital and paper systems.
- Build and format reports from EHR and ASAC systems using Excel or similar tools.
- Look for ways to improve administrative processes, communication flow, and operational efficiency.
- Provide backup reception support when needed.
- Handle sensitive information with professionalism, confidentiality, and good judgment, including employee, donor, board, organizational, and patient records.
Requirements
- High school diploma or GED.
- At least 3 years of progressively responsible experience in administrative support.
- Proven ability to juggle multiple priorities while maintaining accuracy and strong attention to detail.
- Well-developed organizational, communication, and time-management abilities.
- Advanced skills in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
- Comfort with learning and using new technology platforms quickly.
