About the role
Avionté is a fast-expanding SaaS technology company looking for a polished, highly organized Executive Admin to support its CEO and broader executive leadership team. This position is a hands-on coordination role with varied responsibilities across the business, offering the chance to use strong judgment, manage multiple priorities, and build relationships with people across departments.
Key responsibilities
You will work closely with the CEO and other executives to keep day-to-day operations running smoothly, bring structure to busy schedules, and help drive important internal initiatives. The role also includes representing the executive office professionally with visitors, partners, and colleagues.
- Provide direct administrative support to the CEO and other executives as required
- Manage calendars proactively, resolve scheduling conflicts, and help leaders prioritize competing demands
- Own and complete deadline-sensitive special projects tied to organizational strategy
- Help coordinate communication and recurring meetings across teams so leaders stay aligned
- Bring organization and structure to the executive team’s daily work
- Arrange travel and accommodations while balancing tight timelines and shifting priorities
- Represent Avionté professionally when welcoming guests, business partners, and other external contacts
- Prepare, format, and share agendas, presentations, and other materials for internal and external meetings
- Organize group meetings, offsite sessions, and professional outings
- Work with the Office Manager to support smooth office operations
- Take on additional special assignments as needed
Requirements
The company is looking for someone with prior executive-level administrative experience, ideally including direct support to a CEO. The ideal candidate should be personable, professional, highly organized, able to juggle several tasks at once, and comfortable working in a fast-moving environment. Strong Microsoft Office capability and excellent communication and problem-solving skills are important, along with the ability to work independently and follow through with minimal guidance.
- Previous experience in executive administration is required, preferably supporting a CEO
- Professional, approachable, and friendly presence with a positive attitude
- Very strong attention to detail and organization
- Excellent multitasking and follow-up skills
- Ability to succeed in a fast-paced environment
- Strong working knowledge of Microsoft Office
- Clear written and verbal communication skills
- Good problem-solving ability and the confidence to execute with limited direction
Work environment
This is an on-site role in the Greater Minneapolis-St. Paul Area.
