Role overview
The Purchasing Coordinator will support procurement and logistics activities to ensure materials, shipments, invoices, and supplier follow-ups are handled efficiently across raw materials and finished goods processes.
Key responsibilities
- Build the monthly Material Requirement Plan (MRP) for the upcoming month.
- Draft purchase orders and share them with suppliers.
- Chase suppliers for on-time submission of documents and delivery of orders.
- Coordinate with the Central Logistics Department to secure proper shipment clearance.
- Obtain freight quotations from the Central Logistics Department for all FOB shipments.
- Work with the Import/Export team to arrange required shipment certificates, including Saber, FASAH, Value Chains, and similar documents.
- Submit invoices to the accounting team without delay.
- Raise supplier claims for missing or non-conforming materials and attach the required supporting evidence.
- Follow up with accounting on settlement of supplier dues.
- Prepare monthly reports and ad hoc reports as needed.
Raw materials (RM) responsibilities
- Arrange required materials after receiving the RM shortage list from the Planning team.
- Monitor and update customs duty exemption records for raw materials and help avoid duty charges.
- Prepare TR documents for inter-company material transfers.
Finished goods (F.G) responsibilities
- Coordinate with the Import/Export team and Product Managers for timely renewal of Product Certificates of Conformity.
- Work with warehouse teams in each country to ensure orders are delivered before detention applies and collect feedback on any quality concerns.
