About the Role
Zirtual offers remote assistant support designed to help clients balance demanding work and personal commitments. In this position, you will act as a dependable Executive Assistant for assigned clients, providing proactive, polished support and helping them stay organized and on track.
You will work independently while being backed by an Account Supervisor who helps with client coordination, plan changes, quality input, and day-to-day support. The role centers on keeping schedules, communication, and operational tasks running smoothly for busy professionals.
Key Responsibilities
- Coordinate complex calendars, meetings, calls, and events, including across multiple time zones.
- Spot scheduling conflicts in advance and resolve them before they create issues.
- Manage inboxes by drafting replies, organizing messages, and ensuring follow-through.
- Act as a communication bridge between clients and outside or internal contacts.
- Prepare documents, presentations, reports, and other administrative materials.
- Handle data entry, file organization, records upkeep, and task tracking.
- Support project coordination and help keep action items moving forward.
- Arrange travel, research flights/hotels/transport, and build detailed itineraries.
- Adjust travel plans as needed and coordinate virtual or in-person events.
- Assist with daily operations, research requests, and process improvements.
- Send weekly usage reports, keep client profiles updated, and follow established best practices.
Requirements
- Excellent organization, time management, and multitasking ability.
- Strong written and spoken communication skills.
- Careful attention to detail and a high standard of accuracy.
- Comfort managing several clients, priorities, and deadlines at once.
- A proactive, resourceful, and solution-focused approach.
- Ability to work independently in a remote environment.
- Bilingual ability in English/French and/or Spanish is preferred.
- Prior support for executives, entrepreneurs, or small business owners is preferred.
- Associate’s or Bachelor’s degree in Business Administration or a related field, or equivalent experience.
- 2 to 4+ years of experience in an Executive Assistant, Administrative Assistant, or similar role.
- Experience supporting multiple clients or executives is preferred.
- Typing speed of at least 50 words per minute with accuracy.
- Familiarity with Google Workspace and/or Microsoft Office.
- Experience using calendar tools such as Google Calendar or Outlook.
- Exposure to project management and CRM tools such as Asana, Trello, ClickUp, Zoho, or Salesforce.
- Comfort using communication platforms such as Slack, Zoom, and Teams.
- Reliable high-speed internet, a computer, and a phone are required.
- Must be able to maintain confidentiality and professional standards at all times.
- Availability during business hours in PST or EST from Monday to Friday, unless a different arrangement is agreed in writing with the client.
Compensation
This is an independent contractor role. Pay is tied to a share of client monthly plans, and average monthly earnings generally fall between $1,500 and $3,800 depending on the client mix.
