Core responsibilities
- Gather up-to-date facilities inventory details and record newly added or revised information in the computerized or automated system.
- Keep the university’s room scheduling and space reservation platform current, and work with the system administrator so construction and relocation work is properly reflected.

- Allocate or classify space in line with the applicable standards and procedures.
- Prepare updates and reports on room usage and room dimensions.
- Track information related to new construction, renovations, and remodeling projects.
- Carry out space feasibility and utilization reviews, then document the findings in report form.
- Maintain detailed records for space usage and inventory.
- Collect and organize information for reports, and support the development of detailed, technical, or complex analyses.
- Suggest improvements to the supervisor for space assignment practices and facilities inventory processing.
- Help identify challenges, trends, and future space demands, and propose practical recommendations.
- Collaborate with others to plan room arrangements, including furniture, equipment, telecommunications, and other requirements, while coordinating move sequencing and execution.
- Coordinate changes to facility environment and support systems, alert management to emerging issues, and follow through until problems are resolved.
Required competencies
The role calls for familiarity with space management software and AutoCAD, strong knowledge of space utilization and facilities management, and the ability to analyze space needs and inventory conditions. The candidate should be comfortable making independent decisions related to layout, scheduling, inspections, materials, and contract compliance, and should understand project management methods used to organize and control relocation work. Budget development and cost-tracking experience are also important, along with clear communication skills in both speaking and writing.
