About the Role
The business is looking for a highly organised, self-motivated, and detail-focused Administration Assistant to act as a central support resource for the Melbourne office.
This position suits someone who enjoys taking initiative, staying ahead of issues, and keeping operations running smoothly. The successful person will provide broad administrative, organisational, and business support to local leadership while coordinating effectively with the Spanish head office.
Key Responsibilities
- Manage the daily operations of the Melbourne CBD office and ensure it functions efficiently.
- Oversee suppliers, facilities, service agreements, and relationships with the landlord.
- Arrange support for IT systems, equipment, and office infrastructure needs.
- Help ensure workplace activities align with company policies and applicable local regulations.
- Support senior leaders with administrative and organisational tasks.
- Handle meeting coordination, travel bookings, and international calendar management.
- Draft correspondence, prepare reports, and build presentations when required.
- Coordinate office visits from executives based overseas.
- Assist with invoice handling, expense claims, and reconciliation of company credit cards.
- Work with external accountants, payroll partners, and consultants as needed.
- Keep administrative files, records, and documentation systems accurate and up to date.
- Support contract administration and document control processes.
- Contribute to a professional, well-organised, and positive workplace environment.
- Assist with onboarding for new team members.
- Help plan and deliver internal events and company activities.
About You

Skills and Experience
- Previous experience in an Administration Assistant, Office Manager, Executive Assistant, or similar position.
- Background in construction, infrastructure, engineering, or professional services is considered an advantage, though not required.
- Strong written and spoken communication skills.
- Excellent people skills and confidence working with stakeholders across all levels.
- Advanced proficiency in Microsoft Office.
- Hands-on experience with Xero.
- Spanish language ability is valued but not essential.
