Role Overview
The organization is seeking a highly organized and detail-focused Document Controller for its Abu Dhabi office. This role is intended for a UAE National and is central to keeping documentation systems accurate, accessible, and properly governed. The position contributes directly to operational effectiveness through disciplined document handling, control, and record management.
Key Responsibilities
- Sort, organize, and maintain company records and documents through established filing methods and document control tools.
- Apply document control procedures consistently to align with internal policies and applicable regulatory obligations.
- Enter information accurately into databases and management systems while maintaining reliable records.
- Develop and maintain indexes, catalogues, and retrieval structures that support quick document access and distribution.
- Track document validity and expiry dates, and coordinate renewals or archiving as needed.
- Protect sensitive records by following appropriate confidentiality, storage, and handling practices.
- Issue documents to approved stakeholders and maintain clear distribution tracking.
- Carry out routine checks of storage locations to confirm compliance with document control standards.
- Work with department leaders to understand documentation needs and adapt control processes accordingly.
- Prepare activity reports related to document management and suggest improvements where possible.
- Handle document requests and provide timely retrieval assistance to internal teams.
Requirements
- At least 2 to 4 years of experience in document control, records management, or a comparable administrative function.
- Working knowledge of Microsoft Word, Excel, and Outlook.
- Hands-on experience with document management platforms and database systems.
- Strong planning and prioritization abilities with the capacity to manage several tasks at once.
- High precision and attention to detail in data entry and record maintenance.
- Strong written and spoken English communication skills.
- Ability to work independently while safeguarding confidential information.
- Understanding of document control practices and standard procedures.
- Awareness of compliance expectations and regulatory requirements.
- Preferred exposure to document control software or enterprise content management systems.
- Preferred familiarity with ISO standards or quality management systems.
- Preferred background in a corporate, regulated, or government setting.
Additional Information
The candidate must hold a valid UAE Family Book.
