The role

The Bid Coordinator supports the full lifecycle of strategic bid activities across the defence sector. Working alongside Bid Managers, subject matter experts, and teams across the business, this role helps produce polished, compliant responses to EOIs, ITRs, RFQs, and RFTs.

The position contributes to successful bid outcomes by keeping schedules on track, coordinating collaboration tools, preparing submission documents, and making sure all materials align with company branding and governance expectations.

Key responsibilities

  • Provide bid coordination support to business domains, including receiving tender documents, organising deliverables, handling templates, maintaining version control, and assisting authors.
  • Support Bid Managers with bid planning, timeline management, launch readiness, and final submission tasks.
  • Help run internal review cycles and ensure deadlines are met across multiple contributors.
  • Coordinate the structure and development of bid content so that submissions are clear, consistent, and aligned with client needs.
  • Work with technical, operational, legal, and commercial stakeholders to gather, review, and refine input.
  • Maintain a central library of bid materials such as CVs, case studies, project profiles, and style references.
  • Create and maintain templates, tools, and example documents to improve efficiency on future bids.
  • Ensure submissions reflect corporate branding, visual standards, and key messaging in partnership with communications and marketing teams.
  • Make sure bid activity meets legal, client-specific, and internal governance requirements.
  • Support after-action reviews and capture lessons learned after bids close.
  • Promote bid best practices across the organisation and help drive process improvements.

About you

You are likely to succeed in this role if you bring experience in bid coordination, proposal development, or a similar function within defence, engineering, or professional services environments. You should be comfortable working under pressure, managing competing priorities, and coordinating input from a range of stakeholders.

Requirements

  • Background in bid coordination, proposal writing, or a comparable role, ideally in defence, engineering, or professional services.
  • Strong written and verbal communication skills, with solid editing and document formatting ability.
  • Proven ability to manage several deadlines and organise complex stakeholder input in a fast-paced environment.
  • Comfort using Microsoft Office, SharePoint, and other collaboration platforms.
  • Excellent attention to detail, organisation, and time management skills.
  • Desirable: exposure to defence tendering and Australian Government procurement frameworks.
  • Desirable: familiarity with Shipley or a similar winning business methodology.
  • Desirable: a qualification in Business, Project Management, Communications, or a related field.
  • Desirable: APMP certification or an equivalent credential.
  • Must be able to obtain and hold an Australian Defence Security Clearance at NV1/NV2 level.
  • May be asked to provide information on past and present nationality and citizenship for export control eligibility checks, including ITAR-related requirements.
  • Interstate travel may be required when needed.
