Role Overview

The Collections Specialist will handle customer accounts receivable, work to lower overdue balances, improve cash flow, and preserve strong customer relationships. This position works closely with Finance, Sales, Customer Success, and Operations to clear billing issues, accelerate collections, and contribute to overall financial results.

Key Responsibilities

  • Oversee a designated portfolio of customer accounts and review aging reports regularly.
  • Reach out to customers through phone calls, email, and portal-based communication to collect outstanding payments.
  • Review and fix differences related to invoices, payments, and account balances.
  • Work with internal departments to settle disputes and remove obstacles preventing payment.
  • Keep detailed and accurate notes on accounts and all collection-related activity.
  • Create and send statements, invoices, and collection letters or notices.
  • Study aging patterns and suggest steps that help reduce overdue receivables.
  • Assist with month-end close tasks and related reporting needs.
  • Escalate accounts that present higher risk and advise on suitable collection approaches.
  • Maintain a courteous customer experience while meeting collection goals.
  • Look for ways to strengthen billing and collection workflows.

Knowledge and Experience

  • Excellent communication, negotiation, and customer service abilities.
  • Prior exposure to ERP or accounting platforms such as NetSuite, SAP, Oracle, Microsoft Dynamics, or similar systems is preferred.
