About the role

AECOM is seeking a Document Control Specialist in Dubai to manage project records and support administrative, engineering, and operational work across the program. The position focuses on accurate document handling, timely distribution, and organized control of both electronic and physical records, with heavy use of EDMS platforms such as Aconex.

AECOM describes itself as a global infrastructure consulting firm working on projects that support communities, improve daily life, and deliver long-term impact. The organization emphasizes collaboration, innovation, and professional growth across a worldwide team.

What you will do

  • Run the document control function for the program and make sure all project files are managed accurately, consistently, and on time.
  • Handle technical records such as specifications, IFC and shop drawings, vendor submittals, calculation sheets, and revised instructions in both digital and hard-copy formats.
  • Use the Electronic Document Management System, especially Aconex, to receive, log, track, issue, and distribute documents.
  • Keep logs and registers updated for items such as Critical and Non-Critical Documents, GFC Drawings, Shop Drawings, RFIs, NCRs, CARs, and other records needed for monthly reporting.
  • Release documents through approved transmittal templates in line with project procedures for clients, consultants, site teams, and internal stakeholders.
  • Track incoming and outgoing correspondence, route it correctly, follow up on responses, and maintain proper archives.
  • Work with Head Office and vendors to secure the latest document versions and circulate updated revisions to the right people.
  • Help compile and submit final as-built records according to document closeout requirements.
  • Support daily, weekly, and monthly reporting by keeping accurate site document activity records.
  • Maintain the Master Document Register for each project and keep it ready for progress updates and milestone payment submissions.
  • Track license registration and renewal needs according to project regulations.

Requirements

  • A degree is preferred, though it is not mandatory.
  • Document control certifications are considered an advantage.
  • At least 7 years of experience in a similar position is required, ideally in construction supervision or engineering design consultancy.
  • Hands-on experience using Aconex on large infrastructure, building, or industrial projects is essential.
