Role overview
LSH Auto is looking for an organised, proactive Executive Assistant to support the Managing Director and senior leadership team with high-quality administrative coordination. The role is central to keeping daily operations running smoothly, especially across communication, scheduling, and follow-through on important tasks. It is a strong opportunity for a detail-focused professional to contribute to a fast-moving automotive business.
Salary: £33,000 to £35,000 per year, depending on experience.
Key responsibilities
- Manage the Managing Director’s diary end to end, and support senior leaders where needed, including complex scheduling, prioritising meetings, and resolving clashes.
- Set up a wide range of meetings such as leadership sessions, board-level discussions, retailer and partner meetings, supplier meetings, manufacturer-related events, and other ad hoc business reviews.
- Handle all meeting logistics, including room booking, hospitality, refreshments, technology setup, visitor coordination, attendee lists, room arrangements, and related materials.
- Draft, organise, and distribute agendas, meeting packs, briefing notes, presentation materials, and supporting paperwork.
- Join selected meetings to take notes, record decisions and action items, and follow up with stakeholders to keep progress moving.
- Provide general executive administration support by preparing, checking, and formatting correspondence, reports, letters, presentations, and internal communications.
- Keep files, records, contact databases, trackers, key documents, business updates, and action logs well organised and up to date.
- Support customer communication on behalf of the Managing Director, including acknowledgements, updates, follow-ups, and complaint tracking.
- Work with internal teams to gather information, chase responses, and ensure customer, complaint, and stakeholder issues are carried through to resolution.
- Handle confidential, sensitive, or high-risk matters with care and professionalism, escalating them appropriately when required.
- Arrange UK and overseas travel, including flights, hotels, transport, itineraries, travel packs, accommodation, hospitality, and logistics for visiting executives, partners, and stakeholders.
- Submit expense claims accurately and quickly, and support senior leaders with mileage records, bookings, travel administration, and approvals.
Requirements
- Previous experience working as an Executive Assistant or in a comparable administrative support role.
- Strong organisation and time-management capabilities.
- Excellent written and spoken communication skills.
- Comfortable handling several priorities at once and staying effective under pressure.
- Good working knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- High level of discretion when dealing with sensitive or confidential information.
- Ability to coordinate demanding calendars and travel plans.
- Professional approach with strong interpersonal skills.
