Role overview
This position is suited to a driven, analytical person who wants to contribute to organisation-wide operational excellence. The role offers hands-on exposure to operations planning, process enhancement, and project coordination while supporting positive change across the organisation.
Operations planning support
- Help build operational plans, working frameworks, and schedules.
- Research operational capacity and gather information on how resources are being used.
- Keep dashboards and tracking tools up to date.
- Draft recurring management reports on operational performance indicators.
Process improvement
- Support the identification of process gaps and inefficiencies through data review and stakeholder input.
- Develop and maintain process maps, flowcharts, and workflow records.
- Assist in rolling out process improvement efforts under guidance.
- Monitor progress and document the results of improvement initiatives.
Project coordination
- Support the planning and delivery of operations and process-improvement projects.
- Arrange meetings, prepare agendas, and record minutes.
- Track milestones, deliverables, and action items.
- Prepare project updates and presentation materials for stakeholders.
Stakeholder engagement
- Work with internal teams to better understand operational issues.
- Help collect feedback through surveys and interviews.
- Support change-management activities and create communication materials.
Other duties
You may be assigned other tasks or responsibilities as needed.
What the employer is seeking
Applicants from any academic background may be considered, provided they show strong analytical thinking, problem-solving ability, and solid organisational skills. Candidates from humanities, social sciences, and other disciplines can also be suitable if they have built relevant capability through internships, coursework, or projects related to operations, analytics, or process improvement.
Technical skills
The role requires good Microsoft Office skills, especially Excel and PowerPoint, along with the ability to create charts, graphs, and perform basic data analysis. A willingness to learn process mapping is also important.
Analytical skills
You should be detail-oriented, able to assess information critically, identify issues, and approach tasks in a structured and logical way.
Communication skills
Strong written and spoken communication is important, including the ability to produce clear reports and presentations and work effectively with colleagues across different teams.
Personal attributes
The ideal candidate is self-driven, open to learning, responsive to feedback, collaborative, and able to juggle multiple priorities with good organisation.
Preferred but not essential
It would be an advantage to have experience with Microsoft Power BI, familiarity with process improvement concepts, or prior exposure to data collection and analysis through internships or academic projects.
