Role overview
This Facilities / Workplace Coordinator position is based in Dublin Citywest and sits within a global organization that delivers integrated facilities management and workplace management services to major clients worldwide. The role is centered on coordinating day-to-day workplace and facilities activity on site, ensuring a polished service experience, supporting the Facilities Manager, and helping the building run smoothly across operations, service delivery, vendor management, reporting, budgets, and health and safety.
What you will do
- Coordinate on-site facilities services and support the contractors and vendors involved in service delivery.
- Help deliver daily FM services and contribute to a high-end workplace experience for building users.
- Assist the Facilities Manager with ongoing operational tasks and wider workplace management responsibilities.
- Act as a key link between the client and external service providers.
- Support financial administration and other operational processes.
- Plan and manage events as required.
- Support maintenance activity for both the interior and exterior of the building in line with provider policies and instructions.
- Work to achieve strong KPI and SLA performance.
- Assist with the preparation and control of operational and capital budgets.
- Manage outsourced suppliers and monitor performance against contractual requirements.
- Contribute to the health and safety programme and help ensure compliance with relevant legislation, company policies, and procedures.
- Review monthly reports, spot trends, identify areas of excellence, and flag opportunities for improvement.
- Represent the building proactively and help resolve issues when they arise.
- Develop and maintain a trusted working relationship with the client through ongoing communication.
Candidate profile
The ideal candidate will have prior experience in facilities or workplace management, along with strong communication skills and the ability to adjust their approach to different situations. A solid level of IT literacy is important, as is the ability to think creatively and apply strategy to practical problems.
You should also have a good grasp of health and safety standards, a strong service mindset, and experience working with contracts, procedures, and contractor supervision.
