Role Overview
As a Facilities Planner, you will support the facilities function through administration, coordination, documentation, budgeting, vendor management, and compliance tracking. The role involves working across teams to keep maintenance, purchasing, reporting, and access-control activities running smoothly in a regulated environment.
Key Responsibilities
- Provide day-to-day administrative support to the facilities team, including arranging meetings, handling correspondence, and keeping records up to date.
- Assist in preparing and monitoring budgets for facilities-related expenses.
- Help ensure facilities operations meet health, safety, and environmental requirements.
- Use a CMMS effectively and coordinate maintenance and repair work within a regulated setting.
- Prepare reports covering maintenance activity and project status.
- Partner with other departments to understand needs and deliver suitable facilities solutions.
- Create and process purchase orders accurately and on time, and coordinate procurement of supplies and services for maintenance needs.
- Work with accounts payable to support prompt invoice payment and resolve discrepancies where needed.
- Develop and maintain service level agreements with vendors and service providers, focusing on quality and performance expectations.
- Issue employee access cards with support from the security team to maintain controlled access and site security.
- Oversee and issue work orders for facilities technicians and external contractors.
- Make sure work is completed on schedule, within budget, and to the required quality standard.
- Organize and maintain all facilities documentation, such as contracts, maintenance logs, and compliance certificates.
Requirements
- A bachelor’s degree is typically expected, along with 2 to 5 years of relevant experience.
- Prior experience in facilities administration or facilities planning is preferred.
- Strong skills in organization and administration are essential.
- Good communication and interpersonal abilities are required.
- Comfortable using Microsoft Office applications.
- Experience managing budgets and negotiating contracts is needed.
- Familiarity with purchasing tools such as Coupa and CMMS platforms such as Maximo is expected.
