Role Overview

Mikata is seeking an organized, adaptable, and self-starting Office Assistant to support daily administrative and operational needs at its Calgary office. This is an in-person position.

In this role, you will handle a wide mix of responsibilities that help executives and the broader team stay focused and productive. The ideal person enjoys working in a fast-moving environment, can bring structure to busy workflows, and takes pride in keeping things running smoothly behind the scenes.

Executive Support

  • Coordinate calendars and help manage time-sensitive meeting requests.
  • Arrange travel, including flights, lodging, and ground transportation.
  • Support meeting preparation and follow-up tasks as needed.

Office Management

  • Keep the office space tidy, organized, and inviting while serving as the main contact for building management, cleaning staff, and maintenance vendors.
  • Track office inventory and replenish supplies, snacks, beverages, and equipment as needed.
  • Organize team activities and celebrations such as offsites, holiday events, lunches, birthdays, and work anniversaries.
  • Manage incoming and outgoing mail, parcels, and courier deliveries.

Operations and Team Support

  • Support onboarding and offboarding tasks, including desk setup, IT equipment coordination, and software access for new employees.
  • Handle finance-related tasks such as credit card payments, accounts payable invoices, cheque deposits, and collections support when required.
  • Help manage vendors and subscriptions, including software licensing and basic account administration.
  • Assist different departments with ad hoc projects and additional tasks as requested.
  • Contribute to process improvements by helping implement changes that make workflows more efficient.

Qualifications

  • At least 2 years of experience in administration, office management, or operations; startup experience is considered a strong advantage.
  • Comfort working with modern business tools such as Google Workspace, Slack, Zoom, and HubSpot.
  • Strong organizational ability and attention to detail, with the capacity to manage several tasks at once.
  • A proactive mindset with the ability to identify needs early and bring forward practical solutions.
  • Excellent written and verbal communication skills, along with professionalism and sound judgment when handling confidential information.
