As the Reception Assistant, you will be the initial point of contact for employees, visitors, partners, and candidates arriving at the office. This position is part time, based onsite in Downtown Portland, and runs Monday through Thursday from 8:30am to 3:30pm.

Key responsibilities

  • Create a friendly, professional reception experience that represents the Dr. Martens brand well.
  • Handle front desk duties such as answering and directing calls, managing visitor entry, and responding to everyday questions.
  • Keep administrative and contact records accurate and current in the relevant systems.
  • Receive and send mail, courier items, and daily deliveries while assisting internal teams as required.
  • Monitor and restock office, kitchen, and shipping supplies, including drinks and snacks, to maintain adequate stock.
  • Prepare welcome packs and work with HR and Workplace Experience teams to support onboarding activities.
  • Coordinate meeting room reservations, schedules, and logistics, including room setup, catering, and technology readiness.
  • Support parking allocation tracking and help keep records of available spaces updated.
  • Pass building maintenance issues to the Office Experience Specialist and work with vendors and internal teams when needed.
  • Maintain the reception and shared areas to a clean, safe, and brand-consistent standard.
  • Assist with office events, meetings, and workplace projects as needed.
  • Follow all security, safety, and visitor procedures.
  • Act as a positive culture ambassador who reflects company values and helps foster an inclusive environment.

Experience and skills

The ideal candidate has prior experience in reception, front-of-house, or administrative work, with 2+ years preferred. You should be confident using Microsoft Office and common workplace systems such as multi-line phone platforms, visitor management tools, and room booking software.

Success in this role also depends on strong communication, professionalism, customer service, discretion, accuracy, organization, and the ability to balance multiple priorities in a busy environment. Physical ability to move supplies and packages is also required, including lifting up to 30 lbs regularly and up to 50 lbs occasionally, with or without reasonable accommodation. The role also requires the ability to work at a standard computer setup during scheduled part-time hours, with or without reasonable accommodation.
