Role Summary
This full-time, on-site position in Dubai is suited to someone who can provide dependable administrative support to senior leadership on a day-to-day basis. The Personal Assistant will coordinate calendars, arrange meetings, organize travel, and manage correspondence. The role also involves preparing documents and presentations, maintaining organized records, and keeping priorities and tasks moving smoothly. In addition, the person in this role will handle call and email screening, manage follow-ups, serve as a communication bridge for executives, and may also help with events, personal errands, and improvements to administrative workflows.
Key Responsibilities
- Support senior leaders with daily administrative and executive assistance tasks.
- Maintain busy calendars, schedule meetings, and coordinate travel plans.
- Prepare documents, presentations, and other business materials as required.
- Keep files, records, and documentation accurate, organized, and up to date.
- Screen incoming calls and emails, then route or follow up as appropriate.
- Act as a primary contact point between executives and internal or external stakeholders.
- Assist with event coordination, if needed.
- Help with personal errands when requested.
- Look for practical ways to improve and streamline administrative processes.
Required Qualifications
- Experience providing personal assistance or executive-level administrative support to senior leadership.
- Clear written and verbal communication, including professional email handling and confident interaction with others.
- Strong diary and schedule management skills, with the ability to coordinate complex calendars, meetings, and travel.
- Good clerical abilities such as document preparation, filing, data entry, and record keeping.
- Comfort using office software such as Microsoft Office or Google Workspace, along with calendar and messaging tools.
- Excellent organization and time management, plus a discreet and proactive approach to confidential information.
- Prior work as a Personal Assistant, Executive Assistant, or in a similar support role, preferably in a corporate or investment setting.
- A diploma or degree in Business Administration, Office Management, or a related discipline is preferred.
