Role summary
The Planning Engineer sits at the technical core of the facilities management operation. The position is responsible for organising planned preventive maintenance schedules, administering the CAFM platform, and managing escalations from the technical helpdesk. It connects planning, day-to-day operations, and asset lifecycle control to support SLA targets and improve operational performance.
Core focus areas
- Helpdesk and CAFM administration, including work order routing and live SLA monitoring for response and rectification times.
- PPM planning across mechanical, electrical, E&I, plumbing, and civil services.
- Asset register upkeep, tagging accuracy, and hierarchy management within CAFM/EAM.
- Training coordination for technical teams, including gap analysis and record keeping.
- Inventory and spare parts oversight to align stock with maintenance plans.
- Warranty and defect liability tracking, including contractor follow-up and report archiving.
- Use of proactive maintenance approaches such as condition-based and predictive maintenance to reduce failures.
- Backlog control, MTTR improvement, and response planning for emergency work.
- Shutdown and outage coordination with minimum disruption to operations.
- Statutory compliance tracking for inspections such as lifts, fire alarms, and pressure vessels.
Responsibilities
Manage daily technical helpdesk activity, distribute work orders, monitor SLA performance, and reprioritise urgent issues as needed. Build and maintain preventive maintenance schedules in line with standards and O&M requirements, while coordinating soft services activities into the master plan where required. Support and supervise technical teams in the field, identify training needs, and document competency and attendance records. Maintain accurate DLP and warranty logs, work with contractors to close defects, and preserve all related correspondence.
Keep CAFM/EAM data accurate by updating tagged assets, recording condition assessments, and contributing to lifecycle and handover activities for new assets. Coordinate spare parts planning, stock thresholds, and procurement follow-up for critical items. Allow room in the plan for reactive work, reschedule maintenance where necessary, and ensure shutdowns are carefully prepared with permits, safety controls, and communication in place. Produce reliable reporting on asset condition, backlog aging, SLA compliance, PPM completion, and DLP progress, while maintaining O&M manuals, as-built drawings, and certificates. Drive continuous improvement by analysing repeat faults and supporting reliability-based maintenance practices.
Requirements
- A bachelor’s degree in mechanical engineering or electrical engineering, or an equivalent qualification.
- At least 5 years of experience in FM planning or maintenance scheduling within building services, industrial, or commercial environments.
- Hands-on experience administering CAFM/CMMS platforms such as Maximo, Planon, Archibus, Maintenance Connection, or similar systems.
- Working knowledge of SFG20 maintenance standards.
- Strong command of MS Excel and reporting tools such as Power BI or equivalent.
- Ability to solve problems, coordinate across teams, and communicate technical information clearly.
Additional information
This role may involve managing mechanical, electrical, E&I, plumbing, civil, HVAC, and related hard service activities. It also includes responsibility for soft services scheduling, regulatory inspection follow-up, outage coordination, and documentation control for operational and compliance records.
