About the Role
Hamel & McAlister, Inc. is hiring a Project Coordinator to help drive coordination across project management, accounting, and field operations. The role supports the administration of commercial mechanical construction work across New England and is central to keeping projects organized, documented, and moving forward.
In this position, you will work closely with Project Managers on execution support, assist with billing and invoicing for service work and smaller projects, manage project records, help coordinate procurement, and provide general administrative assistance across multiple active jobs.
The company is looking for someone who stays organized, notices details, communicates well, and can handle several priorities at once in a busy construction setting.
Key Responsibilities
- Interact professionally and respectfully with employees, customers, subcontractors, vendors, and other external contacts.
- Assist Project Managers with everyday project coordination and administrative tasks.
- Prepare, review, and process billing for service work and smaller construction jobs.
- Monitor customer purchase orders, billing rules, and invoice progress.
- Work with accounting on customer invoicing and collection-related support.
- Handle RFIs, submittals, and other project records.
- Keep project files organized and maintain document control systems.
- Track procurement status, equipment deliveries, and material lead times.
- Coordinate project logistics with vendors, subcontractors, and field teams.
- Prepare meeting notes and keep action-item trackers up to date.
- Support change order documentation and tracking efforts.
- Maintain project reports and administrative logs.
- Help assemble closeout documents such as warranties, O&M manuals, and as-built records.
- Provide administrative and logistical support to Project Managers and field personnel.
- Respond promptly and professionally to questions from customers, vendors, and subcontractors.
Qualifications
- At least 2 years of experience in construction administration, project coordination, project accounting, or a similar area is preferred.
- Background supporting commercial construction, mechanical contracting, HVAC, plumbing, sheet metal, or MEP work is preferred.
- Strong organization, communication, and time-management abilities.
- Comfort managing multiple projects and deadlines at the same time.
- Proficiency with Microsoft Office tools, including Outlook, Excel, Word, and Teams.
- High attention to detail and a strong focus on accuracy.
- Ability to work both independently and collaboratively.
Preferred Experience
- Prior use of Sage 300 Construction and Real Estate (CRE) is preferred.
- Experience with Procore or comparable construction management software is preferred.
- Familiarity with construction billing, purchase orders, change orders, and project documentation is an advantage.
- Experience working with subcontractors, vendors, and field personnel is preferred.
- Understanding of commercial construction project workflows is helpful.

Compensation and Benefits
- The annual salary is $95,000 to $110,000, based on experience and qualifications.
